About The Position

We are seeking a highly organized and personable Community Coordinator / Move-In Coordinator to join our team. This role is key in ensuring new residents have a seamless move-in experience and ongoing support as part of our community. The Community Coordinator serves as the primary point of contact for prospective and incoming residents, facilitating the move-in process and ensuring a smooth transition into the community. This role combines customer service, administrative coordination, and operational support to provide an exceptional resident experience while supporting occupancy goals and compliance requirements.

Requirements

  • High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
  • Previous experience in customer service, sales, or senior living coordination preferred.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to manage multiple priorities and sensitive situations with professionalism.
  • Primarily office-based within the CCRC community, with frequent interaction throughout resident areas, common spaces, and administrative offices.
  • Participation in community events, tours, and resident activities, which may include occasional evenings or weekends.
  • Exposure to a dynamic, fast-paced environment requiring interaction with residents, families, staff, and external vendors.
  • Ability to sit, stand, or walk for extended periods.
  • Ability to move throughout the facility, including stairs and various community locations.
  • Occasional lifting of objects up to 25 lbs (e.g., documents, promotional materials, small furniture items during move-in).
  • Visual and auditory ability to effectively communicate with residents, families, and staff.
  • Manual dexterity to use office equipment, computers, and mobile devices.
  • Ability to adapt to varying environmental conditions, such as outdoor move-in activities or inclement weather.
  • Must maintain professional appearance and demeanor when representing the community to prospective and current residents.
  • Ability to respond quickly to resident or family needs, emergencies, or special request

Nice To Haves

  • Knowledge of CCRC operations and Connecticut regulatory requirements is a plus.

Responsibilities

  • Resident Move-In Coordination: ￿ Serve as the main liaison for new residents and families during the move-in process.
  • Schedule and coordinate all aspects of move-in, including room assignments, key distribution, orientation sessions, and community introductions.
  • Ensure completion of all required documentation and disclosure forms in compliance with Connecticut CCRC regulations.
  • Communication & Relationship Management: ￿ Build strong relationships with prospective and new residents, their families, and internal departments.
  • Provide guidance and support to residents and families regarding community policies, services, and resources.
  • Collaborate with marketing, nursing, and operations teams to ensure seamless transitions.
  • Administrative & Compliance Duties: ￿ Maintain accurate resident records, move-in schedules, and occupancy reports.
  • Assist with compliance-related documentation, including disclosure statements, admission agreements, and regulatory forms.
  • Ensure all move-in processes adhere to facility policies and Connecticut state regulations for CCRCs.
  • Marketing & Community Engagement: Support tours, open houses, and community events to assist in marketing and occupancy efforts.
  • Provide feedback to marketing and leadership teams on trends, inquiries, and resident needs.
  • Continuous Improvement: ￿ Identify opportunities to improve the move-in experience and resident satisfaction.
  • Participate in staff training and development as required.
