About The Position

This position supports the work of the YMCA of the Rockies, Estes Park Center, which operates a mission-based family and group conference and retreat center, serving more than 175,000 guests annually. The Conference Set-Up and Services Manager is primarily responsible for leading team members through job training, tasking set-ups for 70+ meeting rooms/event spaces, maintaining cleanliness in all meeting spaces, lodge lobbies and bathrooms, the administration building, programs buildings, the executive offices, and holding staff accountable. Provide hospitality to the groups occupying those meeting spaces. The CSS Manager will also provide office support through reception and workflow organization. Requirements

  • Previous conference/banquet experience is a plus but not required.
  • Be willing to learn basic Audio Visual setup
  • Work effectively with the supervisor to organize daily workflow, verifying information with YMCA Conference Coordinators and/or group Leaders.
  • Have the ability to identify potential problems or safety hazards and be able to report them to a supervisor.
  • Possess excellent guest service and interpersonal skills.
  • Be able to speak and write English
  • Be self-motivated and able to work independently

Responsibilities

  • Effectively manage and train a team of up to 25 seasonal staff and 2 full-time staff.
  • Demonstrate strong leadership abilities needed to effectively train, supervise, motivate, and mentor, review, and evaluate a diverse team while upholding the standards of the YMCA core values.
  • Exhibit superior guest service abilities through clear, professional, and friendly interactions (verbal and written), timely and accurate follow-through on requests, and resolve problematic guest situations professionally with guest satisfaction as a goal.
  • The employee needs to be able to lift, carry, and set up tables, various objects, including but not limited to tables, chairs, and stage pieces.
  • Possess strong attention to detail and the ability to prioritize and delegate tasks appropriately in an ever-changing, time-sensitive environment.
  • Maintain and clean meeting spaces and restrooms associated with those meeting spaces.
  • Deliver, set up, and take down tables, chairs, and stage for concerts, conferences, family programming events, and staff events in meeting spaces and auditoriums.
  • Be proficient with the Sales & Catering software as applicable to the department (will train)
  • Provide office reception as needed, including radio dispatch and interdepartmental communication via phone, radio, and email.
  • Keep YMCA vehicles clean and orderly, and monitor the maintenance schedule.
  • Willingness to work rotating shifts – sometimes early mornings or late nights, weekends, and holidays
  • Ability to troubleshoot problems under pressure and in stressful situations.
  • Assist the Janitorial Supervisor with daily cleaning requirements as needed.
  • Assist in the delivery of cabin guest request items throughout the day
  • Ability to prioritize work assignments and supervise projects and daily work assignments.
  • Ability to speak, read, and write in English
  • Ensures all vehicles and equipment are properly operated and maintained
  • Ensures safe practices and procedures are followed for chemicals and biohazards
  • Attends pre-conference meetings with groups to discuss conference logistics
  • Responds to carpet cleaning, biohazard clean-up, public fixture repair and replacement, and water extraction needs that arise, all of which require specialty training.
  • Possess a valid, USA state-issued driver’s license, an acceptable driving record, and comply with YMCA driving rules to be approved to operate YMCA vehicles
