About The Position

Provides professional administrative and coordination support to one or more construction project teams. Helps keep projects organized and moving forward by maintaining project plans and trackers, coordinating communication and meetings, tracking progress, and managing project documentation under direct supervision.

Requirements

  • High School Diplomas or equivalent are required; a Bachelor's degree is preferred (Construction Management, Engineering, Business Administration, or related field preferred).
  • 0–2 years of relevant experience (internship, coop, or entry-level experience in construction, project coordination, or a project-based environment preferred).
  • Beginning working knowledge of project coordination practices and construction project documentation.
  • Strong organizational skills and attention to detail; ability to manage multiple priorities and deadlines.
  • Clear, professional verbal and written communication skills.
  • Ability to handle sensitive information appropriately and maintain accurate records.

Responsibilities

  • Prepare, update, and maintain project plans, schedules, task lists, and trackers to support on-time project delivery.
  • Track project progress against milestones and deadlines; gather status updates from internal team members and external vendors as assigned.
  • Prepare routine project reports, status updates, and basic summaries for clients and internal stakeholders.
  • Review project requirements and identify dependencies and interrelationships across internal departments (e.g., Procurement, Finance/AP, Safety, HR) and external service providers (e.g., subcontractors, suppliers).
  • Coordinate cross-functional meetings: schedule logistics, draft agendas, document meeting notes, track action items, and follow up to confirm completion of assigned deliverables.
  • Maintain accurate, complete, and well-organized project files, including contracts, project correspondence, change documentation (as directed), invoices, and payment records.
  • Support invoice processing by tracking invoice status, routing documentation for review/approval, and assisting with basic reconciliations and closeout documentation.
  • Communicate professionally with internal teams, clients, and vendors to confirm schedules, deliverables, and documentation requirements.
  • Resolve routine issues using established procedures; escalate nonroutine or complex concerns to the Project Manager or other senior staff.
  • Perform additional administrative and project coordination duties as assigned.
  • Works with multiple internal stakeholders and external partners and is expected to follow through on assigned coordination tasks.
