Your Purpose in this Role We are one of the top premier Commercial HVAC and Plumbing Contractors in the state of Arizona. We are looking for growth-motivated and self-starting individuals who value efficiency, reliability, and family. The Contract Administrator provides contractual, administrative, and compliance support throughout the full lifecycle of construction projects. This role works closely with project managers, commercial teams, legal counsel, procurement, and finance to ensure contracts are properly administered, risk is mitigated, and obligations are fulfilled in accordance with industry standards such as FIDIC, JCT, and NEC frameworks. The position requires strong knowledge of construction law principles, contract management systems, change control procedures, and claims administration.

Requirements

  • 2+ years of experience in construction contract administration or related field.
  • Strong understanding of Scope of Work documentation and subcontract agreements.
  • Working knowledge of Arizona construction payment statutes and lien processes.
  • Familiarity with AIA contract documents and construction legal terminology.
  • Experience managing safety documentation and subcontractor compliance.
  • Strong organizational skills and high attention to detail.
  • Proficiency in construction management software (Foundation, LegalOn, Microsoft Suite).
  • Excellent written and verbal communication skills.

Responsibilities

  • Maintain contract review turnaround time of 72 hours or less (depending on project size)
  • Reduce contractual risk exposure
  • Ensure lien rights and payment protections are preserved
  • Improve communication flow between Legal, Operations, Accounting, and Field
  • Implement and optimize AI-based contract review processes
  • Assist in drafting, reviewing, and tracking project contracts and subcontracts.
  • Review Scope of Work (SOW) documents to identify gaps, overlaps, exclusions, and change order impacts.
  • Maintain contract logs, document control systems, and revision tracking.
  • Coordinate with project managers and estimators to ensure scope alignment with contract terms.
  • Support compliance with the Arizona Prompt Pay Act, including monitoring progress payment timelines and retainage requirements.
  • Assist in preparing and tracking preliminary 20-day notices, lien waivers, and releases in accordance with Arizona Revised Statutes Title 33.
  • Track statutory deadlines related to payments and lien rights.
  • Coordinate with accounting to ensure proper documentation for conditional and unconditional lien releases.
  • Serve as liaison between: Project Managers Preconstruction Accounting Executive Leadership GC's and vendors
  • Provide contract summaries to project teams
  • Maintain clear documentation of negotiations and approvals
  • Notify teams of high-risk clauses or special provisions
  • Track certificates of insurance, workers' compensation documentation, and incident reports.
  • Support internal audits and compliance reviews.
