We are seeking a Coordinator, International, to join our team and support the operational elements of ASME’s international offices, staffing, and overall strategies. In this role, you will work closely with the Senior Manager, International Operations, the Managing Director, and other international staff to ensure ASME’s international operations run smoothly, efficiently, and in compliance with local regulations. You will also support organizational and operational activities for ASME’s Washington, DC office, serving as a point of contact for other business and department unit leaders.

Requirements

  • Bachelor’s degree in political science, international relations, or a related field is preferred, or equivalent work experience.
  • Minimum of one year of experience in public affairs, international operations, and/or managing international offices.
  • Ability to manage multiple assignments, projects, initiatives, and outreach simultaneously.
  • Proven ability to work independently with minimal guidance and supervision.
  • Excellent organizational, logistics planning, and research skills.
  • Cultural sensitivity and the ability to communicate effectively with a broad set of global stakeholders across varying time zones.
  • Exemplary written and verbal communication skills.
  • Advanced proficiency with Microsoft Office and related programs.

Nice To Haves

  • Experience with vendor management and invoice processing is desirable.

Responsibilities

  • Provide administrative support to the International department, including scheduling meetings, drafting internal and external reports, and recording and distributing meeting notes.
  • Support the day-to-day operations of ASME’s international staff, including coordinating monthly and ad hoc meetings with business units, assisting with technology and staffing requests, and providing other administrative support as needed.
  • Offer organizational and logistical support for U.S. staff visiting ASME’s international offices or for international stakeholders/partners visiting U.S. offices.
  • Collaborate with international and U.S. staff (e.g., Legal, Tax, Finance) to facilitate annual, semi-annual, and ad hoc governance and compliance requirements for ASME’s international entities.
  • Assist the Senior Manager, International Operations, with departmental budget management, including collecting monthly expenses and tracking vendors and consultants.
  • Serve as the first point of contact for all vendors and consultants for the International department; manage contract execution, vendor communications, and invoice processing.
  • Work with the Senior Manager and other staff to compile quarterly reports on department Key Performance Indicator (KPI) progress.
  • Act as a point of contact for business/department unit leaders in international markets and for international staff reporting to U.S.-based managers.
  • Support the execution of enterprise-wide strategies and shared services to achieve ASME’s programmatic, operational, and financial goals in international markets.
  • Support the day-to-day operations of ASME’s Washington, DC office, including working with building management, Facilities, and IT teams.
  • Provide organizational and logistical support for ASME staff and stakeholders visiting the Washington, DC office, including scheduling, reserving meeting space, and coordinating with external vendors.
  • Support local ASME events in the Washington, DC metro area.
  • Other duties as assigned.
