Bankers' Bank is seeking an engaging, professional Corporate Executive Administrator to join our team in the Madison, WI headquarters office. This position performs in office executive administrative support for the Bank. Partners with Executive Management, Board Members, Correspondent Bankers, other internal staff, and external clientele.

Requirements

  • Ideal candidates will hold an Associate degree in business or other related field or equivalent combination of education and experience sufficient to perform the position functions of the job in addition to one year of administrative support or applicable related experience.

Responsibilities

  • Executive & Board of Directors Administration: Partners with CEO for internal & external executive initiatives
  • Leads logistical support for site and offsite meetings; organizing events, outings, preparing meeting agendas and securing venues
  • Coordinate meeting rooms for Board and Board committees
  • Utilize software to set up meetings, gather documents, prepare agendas, user management
  • Organize annual Shareholder meeting documents
  • Investor Relations: Provide prospective shareholders Private Placement Memos and Subscription Agreements
  • Process completed Subscription Agreements
  • Assist in maintaining accurate shareholder records
  • Assist with stock certificates preparation
  • Assist with payment of annual dividends including the dividend reinvestment plan (DRP)
  • Annual stock valuation memo mailing
  • Generate reports & statements as needed
  • Customer Account Management Coordinate account opening and closing workflow of various DDA Account types and process account documentation.
  • Communicate with and assist customers with miscellaneous document completion.
  • Collaborate with other internal departments on mergers, acquisitions, and account closings.
  • Monitor support email communications and provide prompt response.
  • Coordinate w/Federal Reserve Bank on Excess Balance Account (EBA) customer enrollment.
  • Maintain Customer Relationship Management (CRM) software.
  • In conjunction with PCM annually mass email wire security codes for customer staff.
  • Organize document retention of administration department documents.
  • Periodic review of customer documents for accuracy and any necessary revisions.
  • Administration: Policy and Agreement Update Management
  • Compile, prepare, send, and track physical and electronic mailings
  • Manage office supply program
  • Assist with Human Resources initiatives as needed
  • Provide general assistance to Executives and other staff as needed
