About The Position

The Third Judicial District is seeking a qualified applicant for a full-time customer focused and team-oriented Court Operations Associate to join the Olmsted County Court Administration team in Rochester. The Court Operations Associate position is a fast-paced, highly detail-oriented role with a wide range of responsibilities that support court operations. Primary duties include advanced case processing in an electronic environment; courtroom clerking in-person and via Zoom; chambers support; and providing exceptional customer service both in person and by phone. Depending on assignment, this position may work directly with judges, justice partners, attorneys, litigants, outside agencies, and member of the public. The role requires the application of independent judgment when following and interpreting established laws, court rules, policies, procedures, and regulations. Successful candidates will demonstrate excellent attention to detail, accuracy with a significant volume of data entry, and the ability to manage competing demands in a dynamic work environment. Duties involve frequent communication, via email and telephone, to provide effective administrative support for court caseloads. The primary work location for this position is the Olmsted County Government Center, 151 4th Street SE, Rochester, MN 55904. Standard hours of work on Monday – Friday, 8:00 am – 4:30 pm.

Requirements

  • High school diploma or equivalent
  • One (1) year of relevant job experience or greater, which may include but is not limited to customer service, administrative work, office, and clerical work

Nice To Haves

  • Certificate or degree in a related field
  • Considerable knowledge of court procedures, policies, and records management
  • Experience working with the court's electronic case processing system

Responsibilities

  • Provide in-person and Zoom courtroom clerking, including calling cases, administering oaths, accepting exhibits, updating case records during hearings, and supporting judges and court staff
  • Perform clerical and administrative support for Judicial Chambers
  • Schedule and maintain court calendars
  • May perform Electronic Recording Equipment Operator (EREO) duties, including recording and monitoring court proceedings
  • Provide high-quality customer service to courtroom participants, attorneys, justice partners, and the public
  • Perform court operations and advanced case processing across multiple case types within electronic case management systems
  • Review, process, file, route, and update legal documents and case information for accuracy, compliance, and appropriate security access
  • Receive, process, and receipt court payments
  • Provide high-quality customer service in person, by phone, email, mail, and electronically to attorneys, litigants, self-represented parties, justice partners, and the public
  • Assist court users by responding to inquiries, resolving issues professionally, and navigating challenging situations respectfully
