About The Position

Associa is hiring a Covenants Assistant to support it large-scale HOA in
Haymarket.

Requirements

• Professional communication skills (phone, interpersonal, written, verbal, etc.).
• Professional customer service skills.
• Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level.
• Knowledge of general office equipment (copier, fax, phone systems, etc.).
• Confidentiality and discretion in the performance of all duties and responsibilities.
• Self-motivated, proactive, detail oriented and a team player.
• Valid driver's license is required.

Responsibilities

• Assist residents and tenants by phone, email, and in the office with inquiries, issues and concerns.
• Create property files for new home settlements and ensure that all existing property files are updated with current information.
• Assist residents and tenants with the purchase of gate access stickers, troubleshoot issues with these stickers, update spreadsheets.
• Daily uploading of new information into property Gate System (8 gates), including updating call box telephone numbers for homeowners and tenants.
• Keep current updates in the database for resident mailing address and tenants lease information.
• Assist staff with daily activities such as printing letters, filing and other duties as assigned.
• Assist Covenants department by performing scheduled site inspections.
• Notify responsible parties of code issues in accordance with community guidelines and governing documents.
• Respond to and investigate allegations of violations of codes to determine validity of complaints and appropriate course of action within boundaries.
• Accurately record inspection findings.
• Other duties as assigned.
