About The Position

The Lurie College of Education (LCOE) offers several credential programs, and the LCOE Credentials Office supports students through the credentialing process for all state-approved credential programs at SJSU. Reporting to the Interim Associate Dean, with work lead direction from the Senior Credential Services Specialist, the Credential Analyst Trainee develops the essential knowledge, skills and abilities to perform work comparable to the work of a Credential Analyst I. The trainee learns the State standards and requirements for teaching and service credentials, as well as how to process applications, evaluate academic qualifications, determine credit to issued towards credentials and permits, and to interpret and apply the California Education Code and other regulations pertaining to the issuance of various credentials, certificates and permits for public school teaching and service in California. The Credential Analyst Trainee classification provides a training opportunity for approximately six months to twelve months (the length of the training program will depend on the Trainee’s prior experience, but cannot exceed twelve months). Upon completion of the training, the Trainee will be reclassified to a Credential Analyst I and is expected to be able to perform the duties of the Credential Analyst I under general supervision.

Requirements

  • Familiarity of state standards and requirements for teaching credentials; educational practices related to employment of teachers with credentials, certificates or permits in California school systems, school internship programs, and teacher preparation programs.
  • Ability to develop and maintain efficient office procedures, methods and policies using appropriate technologies and tools.
  • Knowledge of information processing procedures, including but not limited to the use of databases to input data, run queries, and extract reports.
  • Ability to use online data management systems and to input, update, and maintain information.
  • Ability to check and verify complex records, interpret academic documents, e.g., student transcripts.
  • Ability to write correspondence and prepare standard reports.
  • Demonstrate thoroughness and accuracy in all work.
  • Ability to interpret state regulations and ensure compliance to standards and regulations.
  • Ability to maintain confidentiality of information.
  • Excellent oral and written communication skills and a client-focused, service orientation.
  • Ability to work collegially with other staff and college administrators.
  • Ability to communicate with constituents in a professional and respectful manner.
  • Equivalent training and experience involving academics, administrative, fiscal or statistical record-keeping and processing or course work involving the development of analytical skills.

Nice To Haves

  • Experience with working knowledge of general office procedures, methods, and practices.
  • Experience in writing correspondence and standard reports with accuracy, interpreting and applying written regulations, and maintaining confidentiality.
  • Experience in academic or administrative record-keeping, particularly in higher-education settings.

Responsibilities

  • Evaluate and prepare credential applications for the Senior Credential Analyst to notify the California Commission on Teacher Credential that a credential certificate or teaching permit can be issued to an applicant.
  • Process all documents required for credentialing.
  • Advise candidates or other clients about program and credential requirements.
  • Ensure that all applicants for credentials comply with State Standards and California Education Code and oversee accurate processing of all credential applications by colleagues and co-workers.
  • Assist with the delivery of presentations and workshops for program completers regarding credential applications.
  • Acts as the backup liaison with the California Commission for Teacher Credentialing and other offices in the CSU system, and on the campus of San Jose State University to support the credential and educator preparation programs in the Lurie College of Education.
  • Stay up to date with legislative mandates, credential policies and requirements.
  • Evaluate various credential requirements including degree requirements (e.g., major/area of study; regional accreditation) for incoming students, credential applicants, and international credential candidates for Lurie College credential programs.
  • Evaluate the Subject Matter Competency Requirement of coursework and CSET exams to meet Multiple Subjects and Special Education credential program admission requirements.
  • Act as back-up representative for recruitment and informational credential events (online and in-person).
  • Enter data, maintain and prepare data reports from the Credential Office’s internal database.
  • Enter credential data in Honors and Awards and Credential Reporting Panels in the SJSU PeopleSoft data management system.
  • Reconcile credential recommendations granted by the CTC with the Credential Office’s internal database to ensure accurate and up-to-date records.
  • Assist with the preparation of standard reports and in response to request from the Dean’s office or other campus units or external agencies.
  • Maintain credential files and student records.
  • Perform other job-related duties and special projects as assigned.
  • Attend training and maintain skills as appropriate to effectively complete assignments.
