About The Position

Serve as the central administrator and gatekeeper of all Item Master data within company systems, ensuring accuracy, consistency, and integrity across divisions.

Requirements

  • High school diploma or equivalent.
  • Minimum of one (1) year of experience in an administrative, purchasing, data management, or operational support role.
  • Exceptional organizational, analytical, and problem-solving skills, with the ability to manage multiple priorities and pivot as business needs require.
  • Strong written and verbal communication skills, with the ability to collaborate effectively with internal departments and external suppliers.
  • Strong computer skills, including proficiency in Microsoft Office.
  • Demonstrated continuous improvement in areas of responsibility.

Nice To Haves

  • Previous demonstrated success in an administrative or purchasing role.
  • Experience with VIP software package (including Beverage on the Web, iDig reporting, WebTL, and eVIP).

Responsibilities

  • Manage new item setup from initiation through completion, collaborating with managers and suppliers to ensure all required documentation is accurate and complete.
  • Communicate newly created items to appropriate divisions and provide regular summary reporting.
  • Maintain and update all product records within company systems, including status changes (Active, Inactive, Deleted), pricing, UPCs, brand assignments, package sizes, supplier item codes, and related attributes.
  • Ensure pricing and promotional data are properly updated when item status changes occur.
  • Support ongoing Item Master cleanup and data standardization initiatives, including reviewing item descriptions, brand assignments, package codes, supplier tables, and correcting incomplete or inaccurate records.
  • Build and manage recurring inventory, depletion, pricing, and supplier reporting for leadership and suppliers.
  • Generate and distribute weekly and monthly depletion reports and fulfill special reporting requests as needed.
  • Balance Sales & Inventory data at month-end across all divisions, investigate discrepancies, and collaborate with internal teams and suppliers to resolve issues in a timely manner.
  • Research and resolve pricing-related inquiries, logging and tracking issues through resolution while maintaining clear communication with relevant stakeholders.
  • Maintain professional working relationships with suppliers, managers, and cross-functional teams to support purchasing processes and operational efficiency.
  • Assist the purchasing and operations teams with administrative support and special projects as assigned.
  • Participate in cross-training to support related operational functions including promotional entry, contracts, billing, and other system-based administrative processes.
  • Other duties as assigned.
