Requirements

  • Knowledge and experience typically acquired by:
  • Bachelor's Degree and 5 +years of related experience or
  • High School /GED and at least 7 years of related experience
  • Strong budget, financial and supervisory experience
  • Direct experience managing complex grants or restricted funding
  • Advanced knowledge of Microsoft Office Suite, excellent communication, time management, analytical, organizational and customer service skills

Responsibilities

  • Manages the Tufts Department of Chemistry, a large academic department that includes complex operations such as high-volume research, significant laboratory operations, and a diverse portfolio of restricted and unrestricted funding.
  • Works closely with the department Chair to develop and manage department budgets, projections, and capital planning.
  • Partners with local research administration and faculty on sponsored research.
  • Manages department administration, finances, and operations; faculty, student and academic services and manages eight additional department staff.
  • This position is expected to be on campus at least four days per work week.
  • Provides guidance and consultation to students and faculty; advises Chair in administrative matters and represents them in their absence.
  • Collaborates with Chair in strategic planning and serves as liaison with student and business services departments.
  • Participates on school and university committees and may lead projects or special initiatives.
  • Manages two or more department staff as well as student and temporary employees.
  • Hires, trains, and evaluates performance and development opportunities; ensures appropriate staffing levels and productivity for department operations.
  • Manages payroll, employment status changes and workflow with TSS.
  • Researches and analyzes data, writes regular and ad hoc reports for department, university, and external agencies.
  • Partners with operations division to facilitate facilities work orders and requests, office and laboratory moves, renovations and space planning.
  • Partners with Lab Safety on safety training, hazardous waste management and compliance audits.
  • Evaluates and approves purchasing for department and manages vendor contracts and relationships.
  • Oversees department information technology needs and planning.
  • Develops and implements policies and procedures.
  • Develops department budgets and projections; recommends major expenditures, cost savings and develops financial plans.
  • Manages budgets, reviews, and approves major expenses, oversees reconciliation of financial statements, independently allocates expenses to appropriate funding sources, and partners with Chair on capital plans.
  • Partners with local research administration and faculty on sponsored research proposals and budgets.
  • Develops and reviews communications to showcase department mission, programs, and research.
  • Manages website and social media presence as well as marketing/outreach plans.
  • Manages and evaluates department events, lectures, and seminars.
  • Attends faculty and search committee meetings, tracks action items, ensures deliverables are met and produces statistics and reports.
  • Works with faculty affairs to manage hiring, appointment, promotion leave and separation paperwork for faculty.
  • In consultation with International Center, advises on visa applications and visiting appointments.
  • Manages course schedules and curriculum support.
  • Provides advice and handles complex issues for students.
  • Oversees graduate programs.
