About The Position

The Deputy Registrar - Workday Project is a project-dedicated registrarial specialist embedded in the Workday Student Information System implementation. As a member of a team of Functional Leads, this role provides hands-on functional leadership and operational expertise to deliver project milestones (requirements validation, testing, cutover planning, data migration validation, operationalization, and go-live support). The position does not carry ongoing Registrar & Enrolment Services (RES) operational responsibilities; instead, it ensures registrarial business rules, student facing processes, and academic policy requirements are accurately translated into the new student information system and are ready for operational teams at cutover.

Requirements

  • Graduate degree in post-secondary administration, business management or a related field.
  • Eight years of experience in a Registrar’s Office including several years of senior management experience in various aspects of a Registrar’s Office in a public post-secondary, unionized environment.
  • An equivalent combination of education and experience may be considered.
  • Working knowledge of the processes and systems related to admissions, applications, registration, financial aid, scheduling, graduation, and records including experience working with a student information system (e.g. Banner or another large integrated management information system).
  • Experience in developing and implementing new technology-based systems.
  • Experience in developing strong and effective work teams.
  • Experience as a collaborative leader supporting the needs of a variety of diverse groups within a university or college setting.
  • Demonstrated experience leading and implementing change including developing new strategies, policies, and procedures.
  • Effective interpersonal, team and community building skills.
  • Ability to lead, motivate, and manage staff.
  • Effective conflict resolution, negotiation, problem-solving, and mediation skills.
  • Proven ability to exercise judgement, tact and diplomacy.

  • Ability to communicate effectively (orally and in writing) and work effectively and collaboratively with students, administrators, staff, faculty, Ministry representatives, other post-secondary institutions, external agencies, and the general public.
  • Strong computer skills, including word processing, experience working with a large integrated student records database (preferably Banner or Workday) and proficiency in using spreadsheets and database software.

  • Knowledge of the BC post-secondary system including the rules, regulations, procedures and policies as related to Registrar and student services is preferred.

Responsibilities

  • Provides project delivery and leadership for staff (and operational units) within the Registrar and Enrolment Services Department and Strategic Transformation Office
  • Provide registration and enrolment subject matter expertise across project phases to ensure Workday configuration meets academic policy, student services, and regulatory requirements.
  • Translate business requirements into testable acceptance criteria and validate that delivered functionality satisfies those criteria.
  • User Acceptance Testing (UAT) / End to End Testing (E2E): design test cases, coordinate testers, document defects, verify fixes, and sign off on functional readiness.
  • Support cutover planning and execution: develop cutover runbooks, define sequencing and dependencies, coordinate cutover rehearsals.
  • Oversee operationalization activities: create operational procedures, runbooks, and checklists required for post-go-live operations.
  • Provides support to Associate and Deputy Registrars during periods of capacity constraint to maintain service continuity, prioritize critical tasks, and ensure project and operational deadlines are met.
  • Coordinates, manages and facilitates special projects.
  • Supports data migration and integrity: Validate data migration strategy and results: define data validation rules, perform reconciliation between legacy systems and Workday, and escalate data quality issues.
  • Coordinate with data teams and vendors to ensure mapping, transformation, and retention rules align with College policies and regulatory requirements.
  • Supports the project implementation including change management, training and adoption: Develop and deliver training materials for operational staff and superusers focused on new Workday processes and role-based tasks.
  • Support change management by identifying impacted processes, assessing readiness, and coordinating communications and stakeholder engagement.
  • Act as a point of contact for operational teams during stabilization, triage issues, and ensure knowledge transfer to permanent operational owners.
  • Promotes stakeholder engagement and supports governance: Liaise with Registrar & Enrolment Services leadership, academic units, Student Services, IT, Strategic Transformation Office and external vendors to align priorities, resolve conflicts, and maintain project momentum.
  • Facilitate workshops and working sessions to validate business rules, policy impacts, and process redesigns.
  • Supports testing, quality assurance and risk management: Design and maintain testing assets and test plans for functional, integration, regression, and other testing as required.
  • Identify, assess, and mitigate project risks related to functionality, compliance, and student experience.
  • Ensure compliance with privacy, security, and retention policies during testing and data handling.
  • Provides back-up and off-sets to other Deputy Registrars in their absence, when required.
  • Performs other related assignments or projects as required by the Registrar or Program team.
