About The Position

The Director of Maintenance is responsible for leading, scaling, and optimizing all field-level maintenance, rehabilitation, and capital expenditure (CapEx) operations across the multifamily portfolio. This role is execution-focused, with accountability for maintenance performance, unit turns, capital project delivery, cost control, safety, and long-term asset preservation. The Director of Maintenance partners closely with Asset Management, Property Management, Finance, Human Resources, and Executive Leadership to ensure field execution aligns with asset-level business plans, portfolio performance goals, and long-term investment strategies. This position serves as the senior leader accountable for translating strategy into consistent, high-quality execution in the field. Reports to Executive Leadership.

Responsibilities

  • Lead and manage the portfolio-wide maintenance, rehabilitation, and CapEx organizations, including maintenance supervisors, maintenance technicians, and rehab/CapEx teams.
  • Directly oversee maintenance supervisors and rehab/CapEx leads, holding them accountable for daily execution, scheduling, quality, and performance.
  • Assist with hiring, onboarding, training, and development of maintenance supervisors, technicians, and rehab/CapEx personnel.
  • Establish, monitor, and continuously refine performance metrics for maintenance operations, unit turns, preventative maintenance, and rehab projects.
  • Ensure consistent execution of company maintenance, rehab, and capital standards across all properties.
  • Conduct regular site visits and inspections to ensure properties meet maintenance, safety, and curb appeal standards.
  • Review maintenance supervisor reports related to utilization, productivity, and resource allocation to ensure efficiency and accountability.
  • Oversee day-to-day maintenance operations, including work orders, preventative maintenance, emergency response, and backlog management.
  • Develop and enforce standard operating procedures (SOPs) for maintenance, unit turns, and quality control.
  • Coordinate closely with property management teams to ensure unit turns are completed efficiently and aligned with leasing timelines.
  • Identify operational bottlenecks and reallocate resources as needed to maintain performance and momentum.
  • Coordinate on-call schedules across the portfolio to ensure proper coverage and timely response.
  • Lead and manage all capital expenditure and rehabilitation projects across the portfolio, including renovations, infrastructure upgrades, and major repairs.
  • Develop and maintain a capital improvement execution framework aligned with asset-level business plans and long-term value creation.
  • Oversee project timelines, budgets, scopes, and quality to ensure work is completed on time and within budget.
  • Collaborate with Asset Management and Executive Leadership to prioritize CapEx initiatives based on financial goals, asset condition, and investment strategy.
  • Track and manage CapEx quotes obtained at the site level, ensuring accuracy, competitiveness, and timely execution.
  • Act as a central coordinator for CapEx initiatives, aligning field teams, vendors, and internal stakeholders.
  • Serve as a high-level technical resource, interfacing with general contractors (GCs) on complex and high-value projects.
  • Source, evaluate, and obtain vendor bids and proposals for maintenance, rehab, and CapEx projects.
  • Manage vendor relationships, including contract negotiation, pricing, scope definition, performance standards, and accountability.
  • Oversee vendor procurement and coordination across all operational areas, ensuring consistency, cost efficiency, and alignment with company standards.
  • Manage and review vendor and contractor agreements, ensuring compliance and alignment with project scope and company expectations.
  • Balance in-house labor and third-party vendor usage to optimize cost, speed, and quality.
  • Identify and implement cost-saving initiatives without compromising safety or workmanship standards.
  • Manage employee performance within maintenance and rehab teams, including discipline, coaching, and corrective action as needed.
  • Partner with Human Resources on hiring, terminations, workers’ compensation, compliance matters, and employee relations.
  • Develop maintenance supervisors as people leaders, progressively transitioning performance management and accountability to the supervisory level.
  • Foster a safe, compliant, and productive work environment.
  • Oversee certifications and continuing education for maintenance and construction team members.
  • Lead full-cycle recruiting efforts for field and maintenance roles, including interviewing and selection.
  • Oversee onboarding and offboarding processes in partnership with HR.
  • Manage employee relations matters, including write-ups and Performance Improvement Plans (PIPs).
  • Collaborate with Finance, Asset Management, and Operations to develop and manage operating and capital budgets.
  • Track maintenance expenses, CapEx spend, and vendor costs to ensure budget adherence.
  • Report on operational performance, project status, and cost trends to executive leadership.
  • Identify efficiencies and process improvements to improve margins and operational predictability.
  • Lead the development and continuous improvement of operational systems supporting field execution.
  • Utilize and manage Monday.com operational boards for maintenance tracking, unit turns, rehab workflows, and capital projects.
  • Create and maintain integrations between AppFolio and Monday.com to provide real-time visibility into maintenance performance and project progress.
  • Identify opportunities to streamline workflows, improve data accuracy, and enhance communication between field teams and corporate leadership.
  • Leverage technology solutions to enhance operational tracking, reporting, and communication across teams.
  • Support scalable systems as the portfolio grows.
  • Partner closely with the Director of Property Management and CEO to align field execution with asset-level strategies and investment objectives.
  • Collaborate with property management teams to support resident satisfaction, leasing performance, and operational efficiency.
  • Serve as the primary point of contact for field operations-related matters for executive leadership and internal stakeholders.
  • Support strategic initiatives, emergency preparedness planning, and portfolio-wide operational improvements.
