About The Position

Officer and Field Support Responsibilities: (60%) Provides technical and administrative support in all aspects of statistical processing: This includes receiving, checking, compiling and proofing statistical reports for accuracy and correctness; reports in a clear, calm, courteous, professional, and timely manner, both in person and via telephone and e-mail, to Salvation Army personnel at territorial, divisional, and local levels; trains the field as necessary in all applicable current software as it becomes available from THQ; instructs, supports, and assists staff responsible for gathering and compiling data; fulfills information requests from internal and external contacts. Research, compiles, interprets and summarizes statistical information for various reports and departments and resolve problems and/or correct documented information, monitor corps statistical reports for accuracy and completeness, serves as a liaison for other departments, local units, divisional and territorial headquarters in responding to questions and specify statistical concerns; maintains the conf idential nature of the position. Prepares statistical reports for the Divisional Program Review (DPR), senior reviews, yearend closings, national and international reports and other projects as needed or requested. Assists as necessary with the approval process for new proposed Corps or new programs within existing Corps; collects all required information; adds all information into all applicable databases. Assists in troubleshooting technical and statistical logic problems; explains and expands on statistical definitions and program use, individually and in varying contexts; interprets statistical reports; disseminates and elaborates on information regarding program and other statistical changes, problems, and updates; distributes and explains departmental material and requests for information. Oversees and aids the certify process of Corps members for leadership positions; assists with membership transfer process ensures Corps make all statistical changes required for such. Processes local officer bonds in accordance with standard procedures; verify to see there is no duplication; maintains local officer bond lists; completes local officers change and commission forms; communicate with territorial headquarters for transfers in and out of other territories. Researches and analyzes historical data and interprets results; designs, generates, prints and distributes monthly statistical reports; requests, gathers, compiles, and reports on data provided and requested by leadership for quarterly, annual, and reporting. Provides up-to-date membership listings and statistical reports to prepare for annual Corps Battle Plan reviews; assists Corps and Commands with f ixings any inaccuracies stemming f rom the Battle Plan reviews. Mediates access to the statistical database by end-users to correct or add data prior to the current reporting period and to bypass automatic system constraints; assists THQ in the addition and deletion of access to systems. Manages, supports, and/or enhances the use of the current database system to ensure the reliability, accuracy, and security of current and historical digital data and record of communications; updates current database records and contact information to reflect changes in leadership and statistical responsibility as they occur; archives and maintains historical records per established guideline. Reconciles information returned from annual Corps reviews with existing records, edits membership information and related statistical values; accordingly, updates and maintains details of personal and confidentical Corps membership data in an accurate and timely manner; maintains physical and digital historical records of annual Corps reviews and other records. Secretarial/Administrative Responsibilities (40%) Transcribes minutes, newsletters, bulletins and/or reports in an accurate and timely manner; acknowledges routines correspondence. Prepare, types and processes correspondences, proposals, agreements, scripts, statistics, check requests, forms, invoices, notices, bulletins, agenda, schedules, minutes, manuals, etc.; ensures the accuracy, completeness, and timeliness of the same. Prepares and maintains office records, reports, calendars, databases, journals, books, logs, and other records in an accurate, complete and timely manner, updates, posts information and inputs data into the computers to maintain office records; research office files to locate specific ic information found in documents, correspondence, list, forms, etc. in order to prepare specific reports. Maintains and assists officer staff with Battle Plans and Corps Management System. Prepares and proofs various routines report, compiles and records information and statistics necessary to generate routine reports; proof reports for errors and to ensure they are grammatically correct. Answers telephone in a courteous and tactful manner; greets and assist people from outside The Salvation Army; provides accurate and complete information regarding the office operations and/or services; attempts to resolve complaints in a calm, courteous, and tactful manner. Performs routines f iling of a variety of correspondence, forms, cards, records, reports, and documents; maintains pending business and ensure the f iles are maintained in an organized and ef f icient manner. Photocopies and/or shred a variety of items including correspondence, forms, reports and documents. Compiles information for booklets, kits, notebooks, etc. for conferences, seminars, meetings. Performs various clerical and secretarial support associated with special projects, seasonal events and conference, and committee meetings. Makes travel arrangements including f lights and lodging accommodation for office personnel and/or conference attendees. Prepares service requests for of f ice machines and computer repairs. Prepares and files all correspondences to Corps Councils, DHQ and THQ and other related entities. Order office supplies and ensures that an adequate inventory of supplies is maintained to meet the needs of the program department. Serve as a back-up for the Front Desk Receptionist Event Coordination Responsibilities Plans and coordinates special events, activities and presentations. Assists in preparing programs including editing and selecting photographs. Other Responsibilities: Travels as needed to attend conferences and training and to provide support to the field. Attends and assists in official departmental presentations and in-person reporting. Performs other related duties as assigned.

Requirements

  • Ability and willingness to perform all duties with an understanding of the mission, ministry, philosophy, culture, and protocol of The Salvation Army, and conduct all duties in accordance with the ministry of the organization and its Christian principles.
  • Ability to project a positive and professional image of The Salvation Army.
  • Knowledge of general office practices and procedures.
  • Proficiency on keyboard; 40 wpm.
  • Ability to maintain the confidential nature of the work.
  • Ability to train, present information, and communicate by e-mail, phone, and in person in a courteous and tactful manner and with the highest level of professionalism.
  • Ability to plan and organize work in compliance with quality standards and deadlines under minimal supervision.

  • High school diploma or equivalent required, and three years’ experience providing administrative or secretarial support in an of f ice environment with at least one year of supervisory experience, or any equivalent combination of training and experience that provides the required knowledge, skills, and abilities.
