About The Position

RS&H is currently seeking a Document Control and EDMS Lead to join our team in the Moving I-4 Forward Program Office in Celebration, FL. This is an embedded position reporting to the office 5 days per week. This position exists to manage the organization, accuracy, and flow of all project documentation required to support the Moving I‑4 Forward Program. The role ensures that drawings, records, and communications are properly maintained and delivered to support project activities, while following established processes and quality expectations. It is responsible for implementing and managing the electronic document management system used by the program, including ensuring that project teams follow consistent procedures for storing and accessing information. The position works under general direction, makes decisions related to document management practices, and resolves routine issues with moderate judgment and independence while coordinating with multiple project teams.

Requirements

  • Requires Bachelor's Degree or 3 years of related experience as a supervisor.
  • Typically requires a minimum of 5 years relevant experience.
  • Advanced skills in the full Microsoft Office Suite.
  • Adept with Bluebeam
  • Experienced in Implementing EDMS Software's like Procore.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Self-starter capable of working indepedently while supporting team needs.
  • Able to maintain confidentiality at all times

Responsibilities

  • Manages the setup, use, and maintenance of the program’s electronic document management system, ensuring consistent and accurate storage, review, and distribution of project information.
  • Oversees the full lifecycle of project documentation, including receipt, review coordination, approval tracking, distribution, and final archiving.
  • Ensures all project documents meet contractual, procedural, and quality requirements, including proper version control, classification, and record retention practices.
  • Guides project teams and site personnel in the use of document control tools and procedures, providing training, user support, and assistance with system access and permissions.
  • Coordinates document review workflows by assigning responsible parties, monitoring progress, and ensuring response timelines are met.
  • Produces reports, metrics, and status summaries to support project oversight, decision‑making, and timely action by project leadership.
  • Collaborates with internal groups and external partners to ensure document management needs are met and that information flows effectively across all project stages.
  • Conducts routine audits of document control practices, identifies issues related to compliance or accuracy, and implements corrective actions.
  • Leads efforts to enhance document control processes by recommending improvements, supporting procedural updates, and maintaining templates and standardized materials.
  • Supports project closeout by confirming all required documents are complete, accurate, and properly archived within the document management system.
  • Performs all other duties as assigned.
