About The Position

RRL is seeking a detail-oriented and process-driven Document Controller to support the integrity, accuracy, and compliance of RRL's Integrated Management System (IMS) documentation. This is a hands-on execution role responsible for managing the day-to-day document lifecycle across all teams within RRL — ensuring documents are revised, routed for approval, formatted to standard, and published in accordance with RRL's internal policies and ISO 9001 Quality Management System (QMS) requirements. ISO 9001 is the internationally recognized standard for quality management systems, providing a framework that ensures organizations consistently deliver products and services that meet customer and regulatory requirements. For RRL, ISO 9001 certification reflects our commitment to operational excellence and continuous improvement — positioning us as a trusted, world-class reverse logistics provider. The Document Controller operates as the operational backbone of the document control function. This role does not set compliance strategy or manage the IMS program — those accountabilities sit with the IMS Manager and Global Compliance Manager respectively. Instead, the Document Controller ensures that the systems, workflows, and standards defined by those leaders are executed consistently and accurately across the organization.

Requirements

  • Experience in written and oral communication, including the ability to communicate with all levels in the organization (technical, business, executive)
  • Bachelor's degree in Business Administration, Technical Writing, Quality Management, or a related field, or equivalent professional experience
  • Minimum 1–3 years of experience in document control, records management, or a related quality or compliance support role
  • Strong technical writing and editing skills with a keen eye for formatting, grammar, and clarity
  • Proficiency with document management systems (DMS) and Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong organizational skills with the ability to manage multiple document workflows simultaneously and meet deadlines

Nice To Haves

  • Familiarity with ISO 14001, ISO 45001, or other management system standards within an Integrated Management System (IMS) environment
  • Experience working in reverse logistics, supply chain, or a regulated industry
  • ISO 9001 Internal Auditor certification or equivalent quality training
  • Experience supporting legal document review workflows and multi-stakeholder approval processes
  • Working knowledge of ISO 9001 requirements and document control best practices, particularly Clause 7.5 (Documented Information)

Responsibilities

  • Manage the end-to-end document control process for all controlled documents within the IMS, including creation support, revision tracking, review routing, approval coordination, and publication
  • Maintain the master document register, enforcing version control across all document types including SOPs, work instructions, policies, forms, and technical specifications
  • Track document expiration dates and proactively initiate revision cycles to prevent lapsed or out-of-date documentation
  • Archive superseded documents and ensure obsolete versions are removed from active circulation in accordance with IMS procedures
  • Execute document control activities in full alignment with ISO 9001 requirements, with particular focus on Clause 7.5 (Documented Information)
  • Ensure all controlled documents are audit-ready, properly indexed, and accessible in support of internal and external ISO 9001 audits
  • Flag documentation gaps, version discrepancies, or formatting non-conformances to the IMS Manager for resolution
  • Apply the Plan-Do-Check-Act (PDCA) framework to continuously improve document control workflows and turnaround times
  • Partner closely with all RRL teams — including Health & Safety, Environmental, Security, Global Sciences, Compliance, Operations, IT, and Legal — to facilitate timely document reviews and approvals
  • Coordinate with subject matter experts (SMEs) across each pillar to ensure technical accuracy and completeness of documentation prior to routing for approval
  • Manage the document approval workflow, routing documents to the appropriate stakeholders and tracking approvals through to final sign-off, including legal review where required
  • Serve as the day-to-day point of contact for document authors across the business on formatting standards, submission procedures, and IMS document requirements
  • Enforce RRL's internal formatting and technical writing standards across all document types to ensure consistency, clarity, and professionalism
  • Review documents for grammar, structure, tone, and adherence to RRL's style guidelines before routing for approval
  • Provide light editing and formatting support to document authors to improve document quality and readability
  • Maintain and update document templates in alignment with ISO 9001 requirements and RRL's formatting standards
  • Publish approved documents to the appropriate locations within the IMS and manage controlled distribution to relevant teams
  • Ensure acknowledgment of receipt is captured where required by IMS procedures
  • Maintain appropriate access controls and confidentiality for sensitive or restricted documentation
