About The Position

The E-Billing & Compliance Analyst is expected to maintain expertise in e-billing tasks and provide superior customer service to the Firm’s clients, attorneys, advisors and staff, and ensure that all client billing arrangements are set up accurately within 3E. This position is responsible for providing e-billing support to the Billing team, including onboarding new clients and troubleshooting invoice submission issues. This position will also support the Compliance and Billing team with client engagements that are governed by Outside Counsel Billing Guidelines (OCG’s), ensuring all client, matter, timekeeper, rate and e-billing configurations align with OCG’s and engagement terms.

Requirements

  • Bachelor’s Degree strongly preferred and/or equivalent related job experience.
  • At least 2-5 years’ experience in e-billing and/or client compliance;
  • Experience with various e-billing systems, vendors, requirements and eBillingHub.
  • Working knowledge of legal billing software database structure, preferably Elite or 3E;
  • Working knowledge of LEDES electronic files;
  • Proficiency in e-billing;
  • Advanced proficiency in MS Excel and Word;
  • Superior written, verbal and interpersonal skills needed to communicate clearly and concisely with senior management, partners and clients;
  • Ability to deal discreetly with confidential information;
  • Must be highly organized and able to handle multiple tasks efficiently;
  • Strong analytical skills, including excellent detail-orientated proofreading skills;
  • Ability to adapt to cyclical periods, various workloads and new assignments;
  • Demonstrated ability to work independently to meet deadlines and work well under pressure;
  • Stellar customer service skills;
  • Exceptional attention to detail; and
  • Availability to work overtime, as needed.

Responsibilities

  • Works in partnership with partners, Billing Specialists, the Collections team, clients and e-billing vendor representatives;
  • Collaborates with Business Intake, Billing Management, Pricing and Billing Partners to ensure that clients' OCG’s and specifications are received, reviewed, documented, distributed and adhered to;
  • Reviews OCG’s and establishes needs for client matter setup to use tasks/activities, cost constraints set-up, mapping parent relationships and the use of approved timekeeper;
  • Submits timekeeper rates on various e-billing platforms;
  • Maps LEDES format for vendor and location, as required, within eBillingHub and 3E;
  • Monitors the status of all invoices submitted via the eBillingHub & vendor websites for successful transmission;
  • Researches and reviews rejected, adjusted and “more info required” invoices on eBillingHub and vendor sites, and corresponds with billing teams to rectify issues;
  • Alerts Billing team members for timely resubmission/for appeals on the adjustments;
  • Assists the Billing team with understanding errors and finding solutions;
  • Assists with submission of invoices, accruals and budgets;
  • Maintains new users and training regarding use of eBillingHub and various e-billing platforms;
  • Prepares billing summary for the review of the partner in charge and the Office of the General Counsel in line with the OCG’s;
  • Reviews OCG’s and engagement letters from clients to ensure clients are onboarded correctly, guidelines are adhered to and modifications are noted;
  • Compiles, disseminates and is well-versed on client billing guidelines and institutionalized discounts. Educates partners and secretaries to various Firm rate nomenclatures and client policies;
  • Assists with the implementation of client task codes in 3E and corresponding mapping of such codes in eBillingHub;
  • Oversees the electronic billing process from setup to transmission, including addressing rejections and appeals;
  • Maintains knowledge of trends, developments and new technologies impacting all functions of the compliance group;
  • Participates in departmental projects and initiatives designed to streamline workflow and/or resolve issues;
  • Coordinates and works with other departments to provide necessary services to attorneys and clients; and
  • Performs other duties, as assigned.
