About The Position

The ELT Office Assistant provides administrative, operational, and program support for the ELT Department. This position assists faculty, staff, tutors, and students with office operations, communication, events, and departmental projects.

  • Minimum commitment of one year preferred
  • Ability to work up to 19 hours per week
  • High school diploma or equivalent
  • 3 Months of General Work Experience
  • Typical office environment

Responsibilities

  • Administrative & Office Support: Greet visitors and assist with routine inquiries
  • Answer phones and handle departmental correspondence
  • File documents and assist with data entry
  • Maintain office organization and supplies
  • Perform clerical duties following established procedures
  • Monitor and maintain departmental printers by refilling paper, replacing toner, and assisting with ordering printing supplies when needed.
  • Printing, Design & Materials: Create, print, and distribute posters, flyers, programs, and certificates
  • Assist with Canva-based designs for department events and programs
  • Maintain editable templates for departmental materials
  • Use office equipment (copiers, scanners, printers)
  • Program & Event Support: Assist with logistics for ELT programs and events (e.g., English Evening Exchange, graduation activities)
  • Support room scheduling, attendance tracking, and communication with faculty and tutors
  • Assist with event setup, takedown, and basic AV support as needed
  • Mail, Facilities & Technical Coordination: Pick up and distribute departmental mail
  • Assist with submitting IT and Facilities Management service requests
  • Coordinate with campus offices as needed to support department operations
  • Organization & Resource Management: Help organize storage and resource areas
  • Assist with inventory tracking and surplus procedures
  • Perform other duties as assigned
