About The Position

The Event Coordinator Intern(s) assist the Director of Catering in coordinating and executing events while upholding the professional service standards of Stock Farm Club. This role supports pre- and post-event planning, organization, and follow-up while contributing fresh ideas and staying informed on current trends within the event industry.

Requirements

  • High school diploma or equivalent.
  • Must be at least 18 years of age.
  • Must possess current TIPS training or be able to complete such training within 60 days of hire.
  • Must be able to pass employment background check and motor vehicle record checks.
  • Must possess valid driver’s license in accordance with the laws of the State of Montana; must be insurable under the company’s auto insurance policy.
  • Must be able to work variable schedule or irregular hours to include last-minute scheduling needs/changes and working split shifts based on needs of the Club operations and scheduled events.
  • Must be able to work holidays, weekday, weekend, and evening/late evening hours as required.
  • Ability to work outside in adverse weather conditions as needed and to walk on uneven ground.
  • Ability to perform same-day travel on Stock Farm Property and within local geographic region.
  • Comprehensive knowledge of Food & Beverage operations, service standards, and procedures.
  • Knowledge of food safety standards, sanitation practices, and proper food handling procedures.
  • Ability to read, understand, and apply information from Material Safety Data Sheets (MSDS) related to cleaning chemicals, solvents, and materials.
  • Demonstrates strong organizational skills and exceptional attention to detail.
  • Ability to follow written and oral directions.
  • Ability to multi-task, prioritize responsibilities and to work independently.
  • Ability to follow standard operating procedures and to work quickly and efficiently.
  • Ability to maintain personal hygiene.
  • Ability to be flexible and adaptable in highly fluid and dynamic environment.

Nice To Haves

  • 2-3 years of experience working in catering, events, or similar field.
  • Experience in a private club or fine dining environment.
  • Knowledge of or experience in the hospitality industry and/or private clubs.
  • Prior satisfactory performance as a team member of the Stock Farm Club in this or a related position.

Responsibilities

  • Assists in leading major events with Director of Catering.
  • Directs and coordinates support staff during event setup, execution, and breakdown to ensure smooth event operations at Stock Farm Club and other private member events, as assigned by the Director of Catering.
  • Assists the Director of Catering in ensuring clear, accurate, and timely communication with members and external vendors across multiple communication platforms.
  • Demonstrates a clear understanding of both indoor and outdoor event operations and service requirements.
  • Must be actively present at all member events as scheduled by Director of Catering.
  • Acts as second event lead on days where there are multiple events on the calendar.
  • Participates in implementation, management, and breakdown of events as scheduled by the Director of Catering.
  • Assists in creating, monitoring, and executing all event billing.
  • Ensures accuracy in member charges and Club revenues, on both the front and back-end billing.
  • Aids with preparation, distribution, and revisions of all BEO’s with accurate and detailed information.
  • Helps in maintaining the accuracy of event packets and menus as well as any other event documents.
  • Acts as liaison with Director of Catering, in maintaining communication of event details to department heads, as well as in BEO meetings.
  • Assists with organization and maintenance/replacement of event decorations, equipment, & other miscellaneous items within the Catering Department.
  • Maintains organization of event room, and linen as well as other additional catering equipment.
  • Assists the Director of Catering with coordinating event details including custom menu design, linens, floral arrangements, and other event-related elements.
  • Provides support to other Food & Beverage outlets as needed to assist with service operations and guest experience.
  • Reports guest complaints, comments, or concerns to the Director of Catering in a timely and professional manner.
  • Maintains compliance with all applicable state and local health, safety, food handling, and hygiene regulations and standards.
  • May perform other related duties as assigned.
