About The Position

Tacoma City Theaters is seeking a detail-oriented and enthusiastic Event Coordinator to join our events team. The successful candidate will be responsible for planning, organizing, and executing a variety of events, ensuring they are delivered on time, within budget, and to the highest standards.

Requirements

  • Experience in event planning or coordination required (1-2 years required).
  • Demonstrates strong organizational and time-management skills.
  • Ability to solve problems quickly and effectively under pressure.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software.
  • Willingness to work flexible hours, including evenings, weekends, and holidays.

Nice To Haves

  • Experience in hospitality, communications, or related field preferred.
  • Familiarity with event management software and tools.
  • Knowledge of industry-specific regulations and standards.
  • Ability to handle multiple projects simultaneously.

Responsibilities

  • Assist in the planning and coordination of events, including conferences, seminars, corporate meetings, weddings, theatrical productions, and social gatherings.
  • Collaborate with clients to understand their needs and objectives and develop event concepts and themes.
  • Coordinate with vendors, suppliers, and event staff to ensure all logistical aspects are managed efficiently.
  • Develop and manage event timelines, schedules, and checklists to ensure all tasks are completed on time and communicated to internal stakeholders/departments.
  • Oversee the setup, execution, and breakdown of events, including training and scheduling part time staff, ensuring all elements are executed according to plan.
  • Ensure compliance with safety regulations and quality standards.
  • Maintain accurate records of event activities, budgets, and expenses.
  • Assist in managing event budgets, tracking expenses, and ensuring cost-effectiveness.
  • Provide on-site support during events to address any issues that arise and ensure smooth execution.
  • Assist in post-event evaluations to identify areas for improvement and gather feedback from clients and participants.
  • Schedule front of house staff, security and concessions
  • Collaborate with marketing and box office for Premium Experience program.
  • Manage the overall execution of it from staffing to packet assembly.
  • Be knowledgeable of the venue and history for tours.
  • Assist in building and managing a public tour program.
  • Other duties as assigned.

  • Overtime: time plus one half paid for weekly hours over 40
  • Sick leave paid in accordance with Washington state law.
