About The Position

Fanatics Collectibles is looking for a detail-oriented Events Coordinator, High End Experiences for our growing marketing team. In this role, you will be responsible for managing the tactical execution of premium collector experiences, VIP hospitality programs, and exclusive activations that serve our highest value customers. This position requires exceptional organizational skills, white-glove service mindset, and ability to manage high-touch experiences that require meticulous attention to detail. You will work closely with the Sr. Manager, High End Experiences to coordinate premium events, VIP logistics, collector programs, and exclusive experiences that build lasting relationships with our most valuable collectors.

Requirements

  • 2-4 years' experience in luxury event coordination, hospitality, VIP services, or premium brand activations
  • Demonstrated experience managing high-touch, detail-intensive events with white-glove service standards
  • Strong vendor management skills with experience coordinating hospitality services and event logistics
  • Excellent organizational and project management skills; ability to manage multiple concurrent workstreams with precision
  • Exceptional communication skills with professional, polished written and verbal presence appropriate for high-net-worth clientele
  • Experience with budget tracking, invoice processing, and expense reconciliation
  • Proficiency with project management tools, Google Workspace, and event logistics platforms
  • Service-oriented mindset with ability to anticipate needs and proactively solve problems
  • Calm under pressure with ability to handle last-minute changes and unexpected challenges with grace
  • Discretion and professionalism when handling sensitive information about high-value collectors
  • Willingness to work flexible hours including evenings and weekends during event periods

Responsibilities

  • Coordinating end-to-end logistics for VIP collector experiences including premium events, private engagements, and exclusive access programs
  • Managing travel arrangements, hotel bookings, transportation, and hospitality details for high-value collectors attending experiences
  • Supporting planning and execution of premium activations including hospitality coordination, venue logistics, and collector engagement
  • Coordinating with venue partners, hospitality providers, and other vendors to ensure seamless, luxury-level experiences
  • Maintaining detailed event timelines, vendor contact lists, and production schedules for collector vertical activations
  • Process invoices, track expenses, and support budget reconciliation for VIP programs and collector events
  • Serve as day-to-day liaison between internal stakeholders and Sr. Manager on collector needs and requests
  • Coordinate event staffing, including briefing brand ambassadors and hospitality staff on premium service standards
  • Support collector event logistics including attendee management, venue coordination, and program operations
  • Provide on-site support during collector events, managing hospitality details and ensuring exceptional customer service
  • Build and maintain relationships with high-end collectors, responding to inquiries and coordinating special requests
  • Document events through photography coordination, note-taking, and post-event reporting
  • Support Sr. Manager with administrative needs, calendar management, and vertical planning activities
