About The Position

The Executive Assistant to the CEO serves as a highly trusted strategic partner within a publicly traded company environment. This role operates as an extension of the Chief Executive Officer, ensuring effective prioritization and seamless execution across Board, investor, executive, and enterprise activities. This position requires exceptional judgment, executive maturity, discretion, and business acumen. The Executive Assistant will steward highly confidential and market-sensitive information, manage competing enterprise priorities, and ensure the CEO’s time, focus, and communications are aligned with strategic objectives. The role demands composure under pressure, anticipatory thinking, and the ability to operate independently in a fast-paced, high-visibility environment. Requirements

  • Bachelor’s degree or equivalent experience preferred.
  • 8-10+ years equivalent experience supporting executive levels; preferred prior CEO and Board of Directors support.
  • Ability to maintain confidentiality and appropriately handle sensitive information.
  • Ability to work within deadlines, time requirement conflicts and management pressures.
  • Ability to take direction but exercise independent thought and judgment.
  • Demonstrated ability to handle multiple and competing priorities.
  • Exceptional professionalism and interpersonal skills. Strong executive presence.
  • Superior organizational and time management skills.
  • Acute attention to accuracy and detail in all aspects of responsibilities.
  • Exceptional written and verbal communication skills including but not limited to grammar, spelling and proofing.
  • Demonstrated proficiency in Microsoft Office applications (Word, Excel, PowerPoint and Outlook).

Responsibilities

  • Executive Support & Prioritization
  • Manage complex calendar scheduling, ensuring alignment with strategic priorities.
  • Anticipate conflicts, proactively resolve scheduling issues, and protect the CEO’s time.
  • Coordinate travel, including detailed itineraries and logistics.
  • May prepare, edit, and manage high-level correspondence and communications on behalf of the CEO.
  • Track key enterprise initiatives and ensure accountability and follow-through across the Executive Leadership Team.
  • Board & Executive Leadership Team Support
  • Partner with Legal, Corporate Secretary, Finance, and Investor Relations to ensure timely CEO & Board documentation.
  • Support Executive Leadership Team meetings, including agenda planning.
  • Maintain confidential board and governance documentation.
  • Communication & Stakeholder Management
  • Serve as a liaison between the CEO and internal/external stakeholders.
  • Build trusted relationships across senior leadership, customers, partners, and investors.
  • Handle sensitive information with the highest level of discretion and professionalism.
  • Operational & Project Support
  • Support strategic initiatives by coordinating cross-functional deliverables.
  • Prepare reports, dashboards, and executive summaries as needed.
  • Improve administrative processes and recommend efficiencies. Serve as lead and mentor for other Executive Assistants.
  • Assist with special projects and company events led by the CEO as directed.
