At least 3 years of work experience, preferably in the commercial real estate industry. Excellent communication and business writing skills. Adept in using Microsoft Power Point, Excel, Word, Outlook, Teams, and Adobe Acrobat. Ability to multitask, exercise sound judgment, and maintain a high level of confidentiality and tact. Experience managing Outlook calendars, meetings, and expenses. Self-motivated and able to work with minimal direction and within deadlines. Ability to collaborate across departments and work within a team structure. Highest levels of integrity, work ethic, and dependability. Impeccable attention to detail. Aptitude for learning, positive attitude, and a commitment to excellence. Key Responsibilities Provide administrative support to the Senior Vice President, Vice President, and other senior department managers including calendar management/scheduling, preparing expense reports and other administrative functions. Meeting and event planning for department meetings, team building events, training, and other business events. Prepare business presentations and reports. Maintain physical and digital files. Review, prepare and revise business documents as requested. Assist with recruiting efforts by preparing job descriptions, screening resumes, scheduling interviews, and tracking applicant status. Manage permit applications including preparing submissions, making payments, tracking permit status, and distributing permit review comments and responses. Maintain and periodically update department Standard Operating Procedures, Emergency Response Plans, and other similar documents. Prepare and maintain lease abstracts and contract summaries. Maintain property summaries for all operating properties and coordinate with Property Managers to keep them up to date. Track annual real estate tax assessments for all operating properties, compare them with annual valuations, and coordinate real estate tax appeals with consulting firms. Conduct research projects as requested. Facilitate the execution and delivery of legal documents. Manage check requests, purchase approvals, and invoice processing as required. This position is an in-office position in Fairfax, VA with regular hours of 8:00 am to 5:00 pm with a one-hour lunch break, Monday through Friday, with the ability to work from home on Fridays in accordance with company policy.
