About The Position

We’re looking for a highly organized, proactive, and detail-oriented Executive Assistant to support our COO at ShopMy. This is a high-trust, high-impact role at the center of how the company operates and scales. You will play a critical role in increasing executive leverage and ensuring that priorities translate into action. From managing complex schedules and high-volume communications to supporting cross-functional initiatives and leadership rhythms, you’ll help create focus, clarity, and momentum across the organization. The right person will bring sharp judgment, exceptional organizational instincts, and the ability to operate with both precision and discretion. Requirements

  • Bachelor’s Degree with 1+ year of professional experience in a relevant field; experience working in a startup or high-growth company preferred
  • Outstanding organizational and communication skills
  • Expert in Google Suites, Zoom & Microsoft Office

Responsibilities

  • Serve as the trusted right hand to the COO, ensuring her time, communication, and focus are aligned with top company priorities
  • Own complex scheduling and calendar management across multiple time zones, anticipating needs and handling logistics with little oversight
  • Manage high-volume inboxes - drafting and responding to emails when appropriate, surfacing what matters, and keeping communication flowing seamlessly
  • Prepare briefing materials, synthesize information across departments, take clear and actionable notes, and drive follow-up on key decisions
  • Coordinate domestic and international travel - including flights, accommodations, and detailed itineraries - and occasionally travel to key events or offsites
  • Act as a liaison with internal teams, external partners, investors, and press, ensuring smooth communication and high standards across every interaction
  • Support board prep, leadership meetings, monthly business reviews, and company-wide communications
  • Contribute to internal culture by supporting team-wide events, leadership offsites, and key company moments
  • Maintain strict confidentiality and exercise strong judgment in high-stakes or sensitive situations
