Job Description: This role is a key support position designed to help a growing legal practice operate more efficiently while delivering an excellent client experience. As an Executive Assistant with Job Duck, you will manage day-to-day administrative operations, keep communication organized, and ensure clients move smoothly through the intake and onboarding process. Your work will directly impact the firm’s ability to focus on client delivery, legal work, and business development. This role is ideal for someone who enjoys bringing structure to busy environments, takes initiative without being asked, and approaches client interactions with empathy and professionalism. You will thrive if you are detail-oriented, proactive, and motivated by helping others succeed behind the scenes.

Responsibilities

  • Create, update, and maintain SOP documentation
  • Follow up with clients to maintain strong relationships and smooth workflows
  • Respond to scheduling and pre-sales inquiries
  • Handle calendar management, scheduling, and appointment coordination
  • Draft and send professional email responses on behalf of the firm
  • Assist with intake forms and follow up on incomplete submissions
  • Perform ongoing data entry and administrative support tasks
  • Support client onboarding and manage the sales pipeline
  • Send documents, engagement letters, and follow up to ensure signatures and payment completion
  • Manage and organize email inboxes to ensure priority client communications are addressed promptly
