About The Position

Rincon Research seeks a self-motivated and highly organized Executive Assistant, who will provide support to RRC’s executive leadership and Tucson facility as a whole. Come join the team that is creating cutting edge signal processing, geolocation, and communication systems for the future!

Requirements

  • Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 4 years of relevant Administrative Assistant experience OR 6 years with a HS Diploma.
  • Extensive experience with Outlook and Office365 suite including PowerPoint, Word, and Excel.
  • Excellent communication skills (verbal and written) and a great team player.
  • Handles confidential information with proper discretion.
  • Ability to work on-site M-F from 8am – 4pm.
  • Ability to obtain and maintain TS/SCI security clearance.
  • US CITIZENSHIP REQUIRED

Nice To Haves

  • Previous defense industry experience a plus
  • Experience with web-based tools such as SharePoint
  • Experience in a fast-paced work environment that requires you to respond quickly and effectively to non-routine requests and situations
  • Self-starter with initiative and independent judgement for assisting management and employees
  • Ability to think ahead, anticipate challenges and mitigate them
  • Ability to identify problems and develop corrective actions

Responsibilities

  • Serve as Administrative Assistant to the Executive Staff, including
  • Organizing and prioritizing leadership calendars to minimize schedule conflicts
  • Receiving phone calls for Executive Staff
  • Provide administrative support in a team environment, partnering with other administrative assistants for planning and coordination
  • Planning and coordinating domestic/international travel for executive staff
  • Preparing and reconciling expense reports
  • Drafting departmental and directorate correspondence
  • Arranging meetings, which includes reserving and approving conference rooms and coordinating business lunches
  • Documenting and promulgating corporate processes, including ISO-related documentation
  • Assisting in organizing and executing briefings and internal communications activities
  • Overseeing the process for monthly project status reports
  • Supporting senior leadership in ad hoc tasks
  • Collaborates with Human Resources and Operations team for onboarding of new hires and other corporate directives as needed.
  • Plan, coordinate, and attend all Tucson events, including holiday party, company picnic, etc. Will be main point of contact with all vendors. Will act as liaison to other facilities, providing guidance on planning events outside of Tucson.
  • Act as liaison with between satellite offices and corporate.
