Read more: careers.bms.com/working-with-us. The Executive Associate provides administrative support to the Vice President, Executive Director, and Directors of the US Commercial Marketing team. We are looking for a dynamic, performance driven, well organized and flexible individual who thrives in a fast-paced environment, with proven skills prioritizing and multi-tasking to work on a US launch brand. Aside from being able to work independently and make decisions on behalf of the VP regarding calendar and travel events, the Executive Associate must be able to perform project focused duties and understand how to work professionally with matrix teams. Confidentiality is crucial to this position. Job Description Performs highly diverse and complex administrative functions, including but not limited to proactive calendar management, travel arrangements, preparing expense reports, supporting recruiting activities, onboarding and offboarding, Bravo, etc. Responsible for the organization and planning of meetings. Resource to full marketing team for Workday, IT, budget and expense questions. Anticipates needs of managers and takes appropriate steps to produce desired outcome with minimal assistance from supervisor. Ensures manager’s preparedness for meetings e.g. assemble meeting materials, assist with PowerPoint presentations & pre-reads). Prioritizes activities and acts based on an understanding of department objectives, and business needs. Anticipates key issues and implements action plans based on changing priorities and commitments. Be able and willing to adapt to constant changes and can quickly course correct when necessary. Demonstrates strong decision-making capability to guide assigned projects to successful conclusions and meet deadlines. Maintains professional and technical knowledge by remaining current with BMS continuous learning modules. Learns new systems to support team, including submissions and maintenance for Sharepoint, Microsoft Teams, etc. Supports team culture. Exhibits a positive work attitude, high productivity and a collaborative approach with other administrative assistants and partners across organizational levels and functions.

Requirements

  • At least 8 years of administrative experience with significant experience supporting an executive and large team.
  • Strong interpersonal skills in dealing with all levels of management internally and externally.
  • Strong communication skills including excellent verbal and written skills.
  • Proven ability to handle sensitive information or situations with confidentiality, discretion, diplomacy and good judgment.
  • Ability to work and think independently with the ability to analyze and solve complex problems with excellent judgment and provide high quality work with attention to detail.

  • Eligibility Disclosure: The summer hours program is for United States (U.S.) office-based employees due to the unique nature of their work. Summer hours are generally not available for field sales and manufacturing operations and may also be limited for the capability centers. Employees in remote-by-design or lab-based roles may be eligible for summer hours, depending on the nature of their work, and should discuss eligibility with their manager. Employees covered under a collective bargaining agreement should consult that document to determine if they are eligible. Contractors, leased workers and other service providers are not eligible to participate in the program.
