About The Position

The Executive Business Partner is a trusted, proactive, and anticipatory strategic administrative partner to the Managing Partner/CEO. This individual will play a critical role in ensuring the Managing Partner/CEO operates efficiently and effectively with focus, clarity, and follow-through by providing high-level executive support, meeting and calendar coordination, project tracking, and operational follow-through across firm priorities. This role is designed to provide executive leverage — improving communication flow, strengthening meeting cadence, tracking key initiatives, and supporting operational discipline across the leadership team by reducing friction and improving decision readiness. While highly visible and impactful, this position is coordination- and execution-focused, requires sound judgment and anticipation, and does not carry enterprise strategy ownership. The ideal candidate is detail-oriented, discreet, resourceful, and thrives in a fast-paced professional services environment. Only candidates located in the San Francisco Bay Area will be considered at this time.

Requirements

  • Associate’s or Bachelor’s degree in Business Administration, Communications, or related field preferred.
  • 5+ years of experience supporting C-level or senior executives, ideally within a professional services or similarly complex environment.
  • Demonstrated experience managing complex executive calendars and high-volume scheduling.
  • Experience coordinating leadership meetings, events, and cross-functional initiatives.
  • Strong project tracking and follow-up capabilities.
  • Exceptional organizational and time-management skills.
  • High attention to detail and follow-through.
  • Strong written and verbal communication skills.
  • Ability to manage competing priorities with professionalism and composure.
  • Strong judgment and discretion when handling confidential information.
  • Proficiency with Microsoft Office, collaboration platforms, and project tracking tools.
  • Process-oriented mindset with comfort identifying efficiency improvements.
  • Ability to work independently while maintaining strong collaboration across teams.

Responsibilities

  • Manage and prioritize the Managing Partner’s complex calendar and commitments with attention to sequencing, tradeoffs, and protection of focus.
  • Coordinate scheduling across Executive Leadership Group (ELG) members and partners to ensure alignment and efficient use of leadership time.
  • Prepare meeting materials, agendas, and briefing documents in advance of executive meetings, including relevant context, background, and decisions required, as appropriate.
  • Serve as gatekeeper and time steward, ensuring priorities are appropriately sequenced and flagging potential over-commitment or misalignment with stated priorities.
  • Plan and coordinate internal and external meetings, including: Calendar coordination Venue and technology setup Preparation of materials Attendance confirmations Refreshments and logistics
  • Support firm events and leadership offsites as needed.
  • Capture key outcomes and track action items when appropriate.
  • Ensure post-meeting follow-through and documentation to support clarity, accountability, and continuity across meetings.
  • Maintain visibility into key firm initiatives and leadership priorities, particularly those connected to the Managing Partner’s commitments.
  • Track project milestones, deadlines, and deliverables across multiple stakeholders.
  • Maintain a centralized tracker of critical dates, initiatives, and responsible parties.
  • Proactively follow up with stakeholders to ensure accountability and timely progress updates.
  • Escalate risks or delays appropriately with context and potential next steps, as appropriate.
  • Identify opportunities to improve administrative workflows, communication processes, and executive operating rhythms.
  • Support automation and AI‑enabled tools within the scope of executive operations to streamline workflows, prepare summaries, and reduce manual effort, using sound judgment and discretion.
  • Recommend practical process improvements to increase efficiency and productivity.
  • Serve as a trusted liaison between the Managing Partner and internal/external stakeholders, operating with professionalism and sound judgment in sensitive or ambiguous situations.
  • Maintain confidentiality and discretion at all times.
  • Build strong working relationships with partners, leaders, and external contacts.
