About The Position

Our client, a fast-growing company in the commercial real estate/investment space, is seeking a versatile Executive & Office Support Specialist. This multi-functional role combines reception responsibilities, executive-level administrative support, and light office management. While the role touches several areas, the primary focus is supporting the executive team and ensuring smooth daily operations.

Requirements

  • Proven experience supporting C-level executives or in administrative office roles.
  • Strong organizational, multitasking, and time management skills.
  • Excellent written and verbal communication skills.
  • High level of discretion, judgment, and professionalism.
  • Comfortable working across multiple functions with flexibility and adaptability.
  • Proficiency in Microsoft Office Suite, Google Workspace, and other productivity tools.

Responsibilities

  • Serve as the first point of contact for the office, greeting visitors and managing incoming calls and emails professionally.
  • Provide high-level administrative support to the CEO and other executives, including calendar management, scheduling, travel coordination, and correspondence.
  • Draft, proofread, and manage documents, presentations, and reports.
  • Assist with special projects, meeting coordination, and executive follow-ups.
  • Handle confidential information with discretion and professionalism.
  • Manage light office operations, such as ordering supplies, coordinating maintenance, and keeping the office organized.
  • Proactively identify ways to improve administrative processes and workflow.
