About The Position

We are hiring 2 Executive Virtual Assistants on behalf of a women-owned management consulting firm based in Puerto Rico. The firm specializes in grants management, compliance, emergency preparedness, and business advisory services for government agencies, corporations, and non-profit organizations.

Requirements

• Experience in Administrative, Operations, Customer Service, or Virtual Assistant roles
• Fluent in English and Spanish (written and verbal) - REQUIRED
• Expert-level proficiency in Google Workspace and Microsoft Office
• Experience with calendar management and project management tools
• Excellent organizational skills and attention to detail
• Ability to work independently in a remote environment
• Proactive, anticipatory approach to problem-solving
• High level of discretion and confidentiality
• Clean criminal background check (will be required upon offer)
• Reliable internet connection and computer (minimum 20 Mbps)
• Quiet, professional workspace

Responsibilities

• Manage calendars for CEO and CFO
• Schedule and coordinate meetings, calls, and appointments
• Handle email correspondence and phone communications
• Prepare meeting agendas, materials, and take notes
• Coordinate travel arrangements and logistics
• Maintain organized digital filing systems
• Process invoices and prepare expense reports
• Support project coordination and track deadlines
• Assist with client deliverables and proposals
• Coordinate with team members and external partners
• Handle ad-hoc tasks and special projects as needed
