About The Position

The Exterior Production Coordinator is responsible for acting as the support liaison between Volpe's Department of Exterior Production, and clients, always striving to promote and maintain the Volpe Experience and commitment to our core values of Quality, Honesty, and Integrity. The Production Coordinator is expected to consistently maintain internal tracking systems and day to day operations, ensuring that all Exterior Production projects are moving forward according to the established project timelines.

Requirements

  • Previous experience coordinating residential exterior remodeling projects, including: roofing, windows, doors, siding, and/or gutters.
  • Strong customer service skills with the ability to set expectations and maintain a positive customer experience throughout projects by communicating schedules, on-site activity, material deliveries, and payment milestones.
  • Strong organizational skills and the ability to manage multiple active projects across different exterior trades, simultaneously, including material deliveries, dumpster deliveries and removals, inspections, and municipal legal requirements for exterior remodeling projects.
  • Familiarity with permitting processes and inspection requirements for exterior residential construction.
  • Proficiency with CRM systems, scheduling software, and standard office applications.
  • Ability to track and support performance metrics related to production efficiency, adherence to project schedules, and customer satisfaction.
  • High school diploma or GED required.
  • Minimum 5+ years of experience in residential remodeling/construction, p referred
  • Ability to solve problems and implement efficient solutions in real time.
  • Open to feedback and collaboration from experienced professionals.
  • Leadership and customer relations skills.
  • Employment is contingent upon the completion of a pre-employment background check and drug screening.
  • Ability to arrive to and from office for Scheduled Office Hours
  • Professional attitude and appearance.
  • Must be authorized to work in the United States.

Responsibilities

  • Manage and maintain the residential installation schedule to ensure trade partners are consistently assigned with projects, and projects progress without gaps or conflicts.
  • Proactively communicate scheduling details to clients, including crew arrival dates, material deliveries, dumpster placements, and anticipated project milestone schedules.
  • Collaborate with project management to coordinate ordering, and delivery, of materials and/or job site equipment to align with project needs, and optimize accuracy during renovation projects.
  • Read, interpret, and explain renovation contracts, project work plans, change orders, and warranty documentation to clients.
  • Apply for, and track all required construction permits, inspections, and approvals with local municipalities.
  • Enter, update, and manage all warranty related items including completed job registrations and warranty supports for previous clients within CRM and project management systems.
  • Provide real-time alerts to the Director of Exterior Production about Project Managers' accountability with established performance metrics, timelines, and quality standards.
  • Maintain accurate and up-to-date project records within the company's CRM, scheduling, and/or project management systems.
  • Communicate closely with the administrative team to promote efficient cross-departmental collaborations.
  • Attendance & involvement in regular meetings and Company-Wide training sessions.
  • Regular attendance and punctuality are required.
