About The Position

Facilities Coordinator I Coordinates, inspects, and monitors building maintenance, operations and/or service activities including grounds maintenance, housekeeping, paint shop operations, carpenter shop operations and/or security in a district or at an Austin area campus. Leads technical employees. Work requires contact with contractors and private entities. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor. Facilities Coordinator II Coordinates, inspects and monitors building maintenance, operations and/or service activities including grounds maintenance, housekeeping and security in a district or at an Austin area campus. Leads technical employees. Work requires contact with contractors and private entities. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence. Facilities Coordinator III Coordinates, inspects and monitors building maintenance, operations and/or service activities including grounds maintenance, housekeeping and security in a district or division. Monitors preventive maintenance programs, facility use plans, emergency planning and trades contracts for assigned facilities. Leads and coordinates all space management and capital improvement requirements for the district or division through the Support services Division. Work requires contact with contractors and private entities. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.

Requirements

  • High School Grad or Equivalent in general high school studies.
  • Valid driver’s license. This position requires driving a state vehicle.
  • Facilities Coordinator I 6 years in building inspection, maintenance, utility systems, electrical, carpentry, painting.
  • Facilities Coordinator II 8 years in building Inspection, maintenance, utility systems
  • Facilities Coordinator III 9 years in facilities management, building inspections and/or facility maintenance activities
  • Considerable knowledge of Applicable inspection methods, procedures and techniques
  • Preventive maintenance methods and procedures
  • Building support service operations and management
  • Methods and materials used in housekeeping
  • Building security policies and procedures
  • Methods and procedures used in building maintenance and repair
  • Utility systems including heating, air conditioning, electrical wiring and plumbing
  • Methods and materials used in carpentry work
  • Some knowledge of Contract development and oversight
  • Proficient skill in Scheduling work assignments
  • Public relations for maintaining effective working relationships with individuals and groups, both internal and external
  • Monitoring the status and progress of projects
  • Leading, assigning, reviewing, and monitoring the work of others
  • Training in a classroom, office, or field environment
  • Using computers, applicable programs, applications, and systems
  • Safely using, operating, and maintaining applicable equipment
  • Using applicable hand and power tools, equipment, and mechanical devices of the trade
  • Considerable knowledge of Contract development and oversight
  • Must be able to report for duty within 60 minutes of notification on a 24-hour basis to respond to emergency situations.
  • Required to respond on nights, weekends and holidays in emergency situations.
  • Required to work hours other than 8 to 5.
  • Required to work under exposure to inclement weather conditions.
  • Required to wear personal protective equipment provided by employer and comply with all safety requirements.
  • Must attend work regularly and observe approved work hours.

Responsibilities

  • Leads technical, administrative, or clerical support employees.
  • Assists in periodic inspections of buildings and grounds.
  • Coordinates parts and building material requirements with the warehouse and vendors.
  • Coordinates, inspects, and/or monitors building operations and service activities including housekeeping, security, inside painting, carpentry and/or groundskeeping at one or more sites.
  • Coordinates, inspects, and/or monitors maintenance of interiors, roofing, flooring and/or associated heating, ventilating, air conditioning, electrical and plumbing systems of buildings including picnic and safety rest area structures.
  • Coordinates, schedules, inspects, and/or monitors work of employees, contractors and/or contracted employees.
  • Enters work order information and tracks projects in the Automated Software System and orders materials and equipment.
  • Monitors building maintenance, condition of equipment and service contracts. Also monitors buildings and systems; performs or coordinates repairs.
  • Performs evaluation and may assist in developing and implementing the preventive maintenance program.
  • Performs restoration of wood and metal products by matching existing paint, stains, and finish.
  • Performs routine maintenance on related equipment.
  • Provides estimates of time and materials needed for each assignment.
  • Trains employees on building maintenance, operations, groundskeeping, painting, carpentry and/or security activities.
  • Performs other job responsibilities as assigned.
  • Assists In negotiation, development, and Implementation of service contracts.
  • Makes recommendations on violations noted during inspections and conducts follow-up inspections.
  • Performs periodic inspections of buildings and grounds.
  • Negotiates, develops and implements service contracts for facilities.
  • Ensures Facilities Integrated Workplace Management Systems' information is current and accurate for all districts and divisions.
  • Oversees the implementation of the preventive maintenance program for districts and divisions.
