About The Position

The Facilities Maintenance Manager leads the in-house maintenance team and oversees all building systems, grounds, and equipment at Xpress Trucking’s Hawaii facilities. This role manages preventive maintenance programs, coordinates repairs and facility improvements, and ensures operational efficiency and regulatory compliance. The Manager supervises vendors and contractors, maintains all related records, serves as the primary point of contact for facility matters, and works closely with Operations and the Compliance team, while ensuring the building is maintained to a best-in-class standard.

Requirements

  • 5+ years of facility or industrial maintenance management experience (warehouse, logistics, manufacturing, or distribution preferred).
  • Strong working knowledge of HVAC, electrical, plumbing, and building systems.
  • Experience managing preventive maintenance programs and CMMS or maintenance tracking tools.
  • Proven vendor management and contract administration experience.
  • Ability to read basic technical drawings, manuals, and schematics.
  • Strong organizational, communication, and problem-solving skills.
  • Comfortable in a fast-paced, operational environment.
  • Valid driver’s license.
  • Ability to walk warehouse and yard areas daily.
  • Ability to lift up to 50 lbs.
  • Ability to climb ladders and work at heights when required.

Nice To Haves

  • Trade certification or technical training (HVAC, electrical, mechanical, or related field).
  • Experience supporting temperature-controlled or cold-storage facilities.
  • OSHA 30 or equivalent safety training.

Responsibilities

  • Preventive & Annual Systems Maintenance Develop, implement, and manage a comprehensive preventive maintenance (PM) program for all facility systems, including: HVAC and refrigeration (freezer, chill rooms, office AC) Electrical systems, generators, lighting, and panels Plumbing and water systems Fire/life safety systems (alarms, sprinklers, extinguishers) Dock equipment (dock plates, levelers, doors, seals) Maintain annual service contracts and coordinate inspections, testing, and certifications. Track asset histories, service dates, warranties, and replacement schedules. Proactively identify aging or high-risk assets and recommend repair vs. replacement.
  • General Building & Grounds Maintenance Ensure building interior and exterior remain clean, safe, and professional in appearance. Oversee routine upkeep of offices, warehouse, cold-storage areas, restrooms, break rooms, and common areas. Manage exterior grounds, striping, signage, fencing, lighting, and parking areas. Coordinate minor construction, repairs, and facility improvements.
  • Daily Maintenance & Rapid Response Respond to daily maintenance requests and facility issues. Prioritize work orders based on safety, operational impact, and urgency. Perform hands-on repairs where appropriate and coordinate outside support when required. Ensure temporary fixes are followed by permanent solutions.
  • Vendor & Contractor Management Source, vet, and manage qualified vendors and contractors. Obtain quotes, negotiate pricing, and manage service agreements. Monitor vendor performance, safety compliance, and quality of work. Approve invoices against completed work and contracted scope.
  • Safety & Compliance Collaborate with the Risk/Compliance team to ensure safety and regulatory compliance, including OSHA, fire code, building code, and local regulations. Participate in safety walks and facility audits. Maintain documentation for inspections, permits, and certifications.
  • Documentation & Reporting Maintain maintenance logs, PM schedules, and work order records. Provide regular status reports on facility condition, risks, and upcoming needs. Create SOPs and checklists for recurring maintenance activities
  • Leadership & Coordination Manage, supervise and assign work to in-house maintenance team Coordinate closely with Operations, Warehouse, Cold Storage, IT, and Safety teams. Serve as primary point of contact for all facility-related matters.
