About The Position

The Facilities Manager is responsible for the planning, maintenance, and oversight of the company’s physical buildings, grounds, labs/equipment, and related infrastructure. This role ensures that facilities are safe, functional, cost-effective, and compliant with regulatory standards. The Facilities Manager leads facility-related projects, vendor relationships, and preventative maintenance programs to support efficient business operations. Travel as needed. Supervise office staff. The company is growing, moving some locations and acquiring new locations and material testing labs.

Requirements

  • 5+ years of facilities and office leadership experience.
  • Strong knowledge of Microsoft Office and proficiency in Excel.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to handle confidential information with discretion.

Nice To Haves

  • Bachelor’s degree in Business Administration or related field.
  • Experience with contract administration.
  • Experience in engineering, construction, or professional services environment.

Responsibilities

  • Manage the day-to-day operations of all company facilities, including buildings, grounds, utilities, and equipment.
  • Partner with Lab Managers to ensure labs are properly equipped and certifications are up to date.
  • Develop and implement preventative maintenance schedules to minimize downtime and extend equipment life.
  • Oversee facility repairs, improvements and emergency response procedures.
  • Oversee building access, security systems, parking, reception areas, and general office environment needs.
  • Select, contract, and manage vendors for cleaning, HVAC, electrical, plumbing, landscaping, security, and other services.
  • Negotiate service agreements to ensure best value and adherence to performance standards.
  • Monitor vendor performance and ensure compliance with contractual obligations.
  • Partner with Lab Managers to ensure labs meet regulatory, accreditation, and audit requirements for certification (e.g., USACE validation, ISO, ASTM, AASHTO, NVLAP, state or local certifications).
  • Partner with Safety/HR to ensure compliance with OSHA, environmental health and safety (EHS), and emergency preparedness standards.
  • Ensure facilities comply with local, state, and federal safety and building regulations.
  • Support OSHA, fire, and emergency preparedness programs.
  • Manage Insurance renewals.
  • Develop and manage the facilities budget including labs as well as capital improvement planning.
  • Track facility expenses and identify opportunities for cost savings.
  • Participate in space planning and office layout design to ensure efficient use of resources.
  • Lead facility-related renovation, construction, and upgrade projects from planning to completion.
  • Supervise office support staff who are responsible for: Overseeing daily office operations to ensure efficiency and professionalism. Assisting with phone accounts, toll road passes, travel arrangements, software licenses/account management. Business licensing.
  • Maintaining office environment and office supplies.
  • Provide direction to maintenance staff, support personnel, and external vendors.
  • Work closely with IT, HR, Operations, and Leadership to ensure facilities support business needs.
  • Communicate facility policies and changes to employees in a clear and timely manner.
