About The Position

The Facilities & Operations Coordinator is responsible for maintaining the overall functionality, safety, and operational readiness of the facility. This role serves as the primary point of contact for facility-related maintenance, vendor coordination, equipment service calls, and purchasing of building supplies and operational materials. The position ensures the building, infrastructure, and production environment remain well maintained and fully operational to support daily manufacturing and fulfillment operations.

Requirements

  • High school diploma or equivalent required.
  • Minimum of 3–5 years of experience in facilities coordination, maintenance support, operations support, or similar role.
  • Experience coordinating vendors, service providers, or contractors strongly preferred.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks.
  • Ability to coordinate with vendors, contractors, and internal departments effectively.
  • Basic knowledge of building systems including HVAC, electrical, plumbing, and general facility infrastructure.
  • Experience with purchasing processes, vendor communication, and cost management.
  • Strong communication and problem-solving skills.
  • Ability to maintain accurate records related to maintenance, service calls, and facility documentation.
  • Proficiency with Microsoft Office applications including Excel, Outlook, and Zoom.
  • Ability to work independently while supporting cross-functional operational teams.
  • Ability to walk throughout the production floor and facility areas regularly.
  • Ability to lift and move items up to 40 pounds occasionally.
  • Ability to stand, bend, and perform light physical activity associated with facility coordination.
  • Ability to work in a manufacturing or warehouse environment with varying noise levels and temperatures.

Nice To Haves

  • Associate’s degree or technical training in facilities management, maintenance, or operations preferred.
  • Experience working in manufacturing, printing, packaging, warehouse, or industrial environments preferred.

Responsibilities

  • Coordinate day-to-day facility operations including building upkeep, preventative maintenance, and repairs.
  • Monitor and assist in maintaining building systems including HVAC, lighting, plumbing, electrical, and general infrastructure.
  • Serve as the primary contact for equipment service requests and coordinate service calls with equipment manufacturers and service vendors.
  • Track equipment service history, preventative maintenance schedules, and repair documentation.
  • Source vendors, obtain quotes, and coordinate procurement of building supplies and operational materials.
  • Coordinate building repairs, maintenance work, and facility improvements with external contractors and vendors.
  • Manage purchasing of facility supplies including maintenance materials, tools, cleaning supplies, and operational consumables.
  • Monitor and maintain inventory levels of facility-related supplies and reorder as necessary.
  • Assist with receiving and organizing deliveries of equipment, materials, or building supplies.
  • Maintain records of facility maintenance activities, service logs, and vendor contacts.
  • Support facility safety programs and ensure building operations align with company safety policies and procedures.
  • Assist with facility inspections, safety audits, and compliance documentation.
  • Coordinate logistics for equipment deliveries, installations, or relocations within the facility.
  • Maintain professional working relationships with vendors, contractors, and internal operational teams.
  • Forklift certification oversight / material movement coordination
  • Waste and recycling vendor management (cardboard, pallets, scrap)
