About The Position

The Food & Beverage Coordinator provides administrative, operational, and communications support to the Food & Beverage division, ensuring seamless coordination between restaurant teams, culinary leadership, catering, reservations, and guest‑facing departments. This role manages high‑volume information flow, maintains accuracy across multiple systems and platforms, supports menu and event updates, and ensures that all guest requests, group bookings, and restaurant communications reflect the highest Four Seasons service standards.

Requirements

  • High‑volume, luxury resort experience strongly preferred.
  • Previous experience in F&B administration, catering, restaurant management, or reservations coordination is a plus.
  • Excellent written and verbal communication skills with strong attention to detail and accuracy.
  • Exceptional organizational and multi‑tasking abilities; comfortable managing multiple large‑scale projects simultaneously.
  • Proficiency with POS/PMS systems, OpenTable, and Microsoft Office Suite; knowledge of Delphi and BirchStreet is a plus.
  • Strong interpersonal skills and the ability to work independently or collaboratively with cross‑functional teams.
  • Ability to lift, carry, and move up to 20 lbs. as needed for event materials or administrative supplies.
  • US work authorization is required.

Responsibilities

  • Serve as a central point of communication for all F&B outlets, coordinating with Concierge, Reservations, Front Desk, Guest Experience, and Conference Services to ensure accurate and timely information sharing.
  • Manage guest reservation requests, answering with urgency, providing written confirmations, and following up via phone or chat.
  • Create, maintain, and update OpenTable guest profiles for Elite, Resident, VIP, and glitch‑recovery guests; ensure proper tagging and accuracy across all outlets.
  • Maintain OpenTable accounts and ensure proper configuration, billing accuracy, and marketing utilization.
  • Prepare and distribute daily and weekly Restaurant Event Orders (REOs), updating guarantees, change logs, and event summaries for Culinary, Pastry, Managers, and Banquets.
  • Print, organize, and maintain F&B group resumes; attend weekly Resume Meetings and communicate key updates to restaurant leaders.
  • Manage menu accuracy across multiple digital and guest-facing platforms.
  • Support holiday and special event planning including reservation books, menus, flyers, operational communication, and OpenTable configurations.
  • Assist culinary leadership with recipe entry, recipe auditing, cost tracking, and food‑cost report reviews.
  • Oversee all special dietary requests, ensuring proper cross‑department communication, profile creation, documentation, and advance preparation of specialty items.
  • Manage office supply ordering for the division and maintain centralized inventory systems.
  • Maintain and track F&B training compliance (ServSafe, Alcohol, Allergen, ECOSURE); schedule trainings, manage certification records, and update the master tracker.
  • Participate in daily and weekly meetings related to F&B operations and guest services; distribute notes and follow up on action items.
  • Maintain F&B SharePoint calendars, contribute to internal communication tools, and send weekly hours‑of‑operation updates.
  • Compile and distribute all F&B‑related guest comments for timely follow up.
  • Support menu engineering, create quarterly reports, and manage F&B capture data and occupancy inputs.
