Requirements

  • Associate’s degree or two (2) years of administrative support experience required.
  • Ability to learn the Foundation's donor management software.
  • Ability to work evenings and weekends, some early mornings, due to event requirements.
  • Strong working knowledge of Microsoft Office applications and setting up virtual meetings (Zoom)
  • Excellent customer service skills, including but not limited to: a friendly personality, tact, patience, empathy and a helpful, professional attitude both in person and on the telephone.
  • Ability to manage calendars and schedule meetings/appointments.
  • Ability to effectively communicate with staff, managers and the general public verbally and in writing.
  • Demonstrate effective listening skills.
  • Excellent organization and time management skills and ability to establish priorities effectively.
  • Possess exceptional problem solving skills.
  • Ability to work effectively without immediate supervision.
  • Ability to learn new computer software programs.
  • Ability to recognize and protect confidential information.
  • Demonstrate ethical and legal accountability for the position.

Nice To Haves

  • Bachelor’s degree preferred.
  • At least two (2) years of administrative support experience preferred.
  • Previous Foundation experience preferred.
  • Experience in customer service preferred.

Responsibilities

  • Support the daily operations of the Foundation by processing mail, answering Foundation phones, scheduling meetings, and greeting visitors/guests.
  • Coordinate, schedule, plan, and attend all IMH Foundation regular committee meetings. Includes coordination of virtual (Zoom) meetings.
  • Create meeting agendas and minutes, and provides direct support to the Foundation Board.
  • Coordinate mailings and delivery of board/constituent/donor communication, including acknowledgment of gifts.
  • Maintain the filing system and order supplies.
  • Assist with processing donations and tracking donor activity.
  • Maintain and update records of donors, prospects, solicitations, gifts, etc. and provide reports using the Foundation database.
  • Serve as back-up on accounting related functions.
  • Assist with updating website content and editing publication materials.
  • Assist with Foundation fundraising events as necessary .
  • Other duties as assigned.
