The Front Desk Coordinator serves as the first point of contact for clients, visitors, and vendors and represents TaxRise with professionalism and poise at all times. As the face of the organization, this role requires a polished appearance, a courteous demeanor, and excellent communication skills. In addition to managing front desk operations, the Coordinator supports office logistics and helps maintain a welcoming, well-organized environment. The ideal candidate demonstrates strong judgment, attention to detail, and the ability to prioritize effectively in a dynamic, fast-paced setting. Requirements

  • High school diploma or equivalent required
  • 1+ years of experience in a receptionist, administrative, or customer service role
  • Excellent written and verbal communication skills
  • Strong judgment for problem-solving and task prioritization
  • Ability to multitask while maintaining a calm and professional presence
  • Exceptional organizational skills and attention to detail
  • Self-starter mindset with a proactive approach to tasks
  • Collaborative, team-oriented attitude with strong interpersonal skills
  • Proficiency with Microsoft Office, Google Workspace, Slack, and Calendly

Responsibilities

  • Greet and assist clients, visitors, and vendors with a professional and friendly demeanor
  • Notify employees promptly of their guests’ arrivals and direct them to the appropriate meeting room
  • Maintain accurate visitor logs, issue visitor badges, and validate parking tickets
  • Monitor front desk and office supply levels; restock as needed and keep inventory logs up to date
  • Serve as a point of communication through Slack or other internal tools to notify employees of waiting clients, interviews, or walk-ins
  • Open the office each morning: unlock doors, turn on lights, and prepare common areas for the workday
  • Maintain cleanliness and organization of all common areas, including conference rooms and shared workspaces
  • Clean and sanitize kitchen areas regularly, including countertops, sinks, appliances, and refrigerators
  • Ensure all shared spaces are tidy, well-stocked, and presentable at all times
  • Maintain a clean, organized supply and storage room, with clearly labeled and accessible inventory
  • Maintain and clean the coffee machine daily and monitor related inventory
  • Submit maintenance or facility tickets to property management as needed and act as a backup contact for building-related concerns
  • Monitor and maintain First Aid supplies and ensure compliance with safety standards
