About The Position

Galveston County Health District is seeking a detail-oriented and organized Grant & Billing Coordinator to join our Finance team. In this role, you will support grant and contract billing, budget coordination, and financial tracking related to local, state, and federal funding sources, including preparing invoices, maintaining supporting documentation, tracking expenditures against approved budgets, and assisting with financial reporting to ensure timely and accurate reimbursement. This position works under the direction of the Chief Financial Officer (CFO) and focuses on coordination and financial support activities rather than sole ownership of grants or budgets. Why Join Us? Requirements

  • Graduation from an accredited high school or equivalent required
  • Minimum of two (2) years of accounting, billing, or financial support experience required
  • Proficiency in Microsoft Excel required
  • Basic knowledge of accounting principles and journal entries
  • Strong organizational skills with excellent attention to detail
  • Ability to prioritize workload and meet deadlines
  • Customer-service oriented with strong interpersonal skills
  • Excellent written and verbal communication skills
  • Excellent computer skills, including Microsoft Office
  • Ability for spur-of-the-moment transportation without relying on organization vehicles
  • Valid Texas driver’s license or ability to readily obtain one; Department of Motor Vehicle check may be required
  • Willingness to work evenings and weekends as needed
  • Must comply with GCHD Immunization Policy and ICS training requirements
  • Must pass a criminal background check and drug/alcohol screening

Nice To Haves

  • Associate or Bachelor’s degree in Accounting, Finance, or a related field preferred
  • Proficiency in SAGE preferred
  • Experience with grant billing and government funding preferred

Responsibilities

  • Collect and organize information required to prepare grant and contract invoices
  • Prepare and enter invoices into the accounting system for processing
  • Maintain supporting documentation for grant-funded expenditures
  • Track expenditures against approved grant and program budgets
  • Maintain budget tracking spreadsheets and related documentation
  • Perform monthly reconciliations to ensure expenses are coded correctly and remain within budget limits
  • Assist with billing schedules and reimbursement tracking
  • Prepare and post journal entries
  • Adhere to monthly closing deadlines
  • Assist agency staff and external auditors with grant and program documentation requests
  • Provide expenditure summaries to program managers and supervisors as requested
  • Receive payments in accordance with cash-handling guidelines
  • Review accounts receivable aging reports and assist with follow-up on past-due accounts
  • Respond to billing-related inquiries from internal and external stakeholders
  • Assist in the preparation and coordination of the annual budget process
  • Maintain organized grant and billing files
  • Perform other duties as assigned by the supervisor
