About The Position

The Grant Coordinator supports the operational and administrative management of Point Park University's institutional grant portfolio. This position is responsible for grant research support, pipeline tracking, budget coordination, compliance monitoring, and post-award administration. The Grant Coordinator ensures that grant activity is accurately documented, compliant with funder and University requirements, and effectively supported from opportunity identification through grant closeout. This role works under the direction of the Institutional Partnerships Manager and focuses on execution, documentation, and compliance, enabling strategic grant development, funder engagement, and proposal leadership to remain centralized within the Office of University Advancement. Scope of Responsibility This position provides operational and administrative support for institutional grants. The Grant Coordinator does not lead grant strategy, manage funder relationships, or independently develop proposal narratives. All work is completed under the guidance and direction of the Institutional Partnerships Manager.

Requirements

  • Bachelor's degree required.
  • Two to four years of experience in grant coordination, sponsored programs, higher education administration, or nonprofit development.
  • Demonstrated experience with grant tracking, budget coordination, compliance monitoring, and post-award administration.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple deadlines and work collaboratively across departments.

  • Experience working in higher education or a complex nonprofit environment.
  • Familiarity with grant management systems and financial reporting processes.
  • Experience supporting foundation, corporate, or government grants.

Responsibilities

  • Grant Research & Pipeline Management
  • Conduct grant research and compile prospective funding opportunities aligned with University priorities for review by the Institutional Partnerships Manager.
  • Maintain the University's grants pipeline, calendar, and tracking systems.
  • Monitor submission deadlines, reporting schedules, and compliance requirements for active and prospective grants.
  • Prepare concise opportunity summaries, tracking updates, and internal status reports.
  • Budget Coordination & Compliance
  • Coordinate grant budgets in collaboration with the Office of Finance, program staff, and the Institutional Partnerships Manager using established templates and guidelines.
  • Review budget materials for accuracy, allowability, and alignment with funder and University policies.
  • Track compliance requirements, funder restrictions, cost-share commitments, and required documentation.
  • Maintain organized grant records to support audits, reporting, and internal review.
  • Post-Award Administration & Reporting
  • Track awarded grants, reporting deadlines, deliverables, and closeout requirements.
  • Coordinate the collection of narrative and financial reporting materials from internal stakeholders.
  • Prepare draft reports and submission materials for review by the Institutional Partnerships Manager prior to submission.
  • Support grant closeout processes and required documentation.
  • Systems, Documentation & Coordination
  • Maintain accurate grant files, records, and data within University grant management and financial systems.
  • Prepare internal dashboards, summaries, and reports for Advancement leadership as requested.
  • Support standardized grant processes, templates, and compliance tools within the Office of University Advancement.
