Job Summary: The Group Sales Coordinator reports directly to the Lodging Supervisor. You will actively cultivate a safe, friendly, and fun work environment where outdoor adventure and environmental stewardship are embraced. Communication and frequent effective updates with the Operations Manager, Lodging Supervisor and cross-departmental teams is essential for this position. This position partners with the Group Sales Representative, who serves as the initial point of contact for group bookings and is responsible for contracting room allotments, prescheduling food and beverage, analyzing revenue, and submitting allotment requests to the Operations Manager for approval. The Group Sales Coordinator works in the current year and is responsible for on-site coordination of contracted groups.

  • Minimum 1 year work experience in a hospitality service position.
  • High school diploma required.
  • Understand and follow all ESQ procedures that relate to your job duties.

  • Treat our customers, co-workers, leadership teams, all internal guests with respect and a hospitable service atmosphere must be projected at all times.
  • All team members must maintain a neat, clean and well-groomed appearance (specific standards available in the Employee Handbook).
  • Team members will be trained in the proper use and care of assigned PPE. It is your responsibility to report defective, damaged or lost PPE, or equipment that does not fit properly, to your Manager.

Responsibilities

  • Partner with the Groups Sales Representative to proactively research channels for future business
  • Coordinate and contract final F&B selections, meeting space, rooming lists, etc.
  • Coordinate with the Food & Beverage Manager for any meal requests during the time the group stays on property
  • Ensure rooming list are entered and accurate
  • Prepare BEOs and spec sheets
  • Primary contact as the group prepares to come to property and is actively on-site
  • Be familiar with local points of interest and the location of services that might be requested by guests such as restaurants, church services, tourist attractions and local events.
  • Be observant for activities requiring immediate attention, notify the Operations Manager as problems arise.
  • Accounts Receivable Billing for lodging and coordinating with Food & Beverage manager on charges for any meals provided.
  • Work with the Night Audit to ensure all accounts are reconciled on time
  • Work very closely with the Front Desk Supervisor to achieve the company’s goals
  • Answer phones, handle reservations and respond to guest inquiries.
  • Upsell property events and services
  • Manage reservation processes with care, precision and finesse.
  • Retain a report of occupied or vacant rooms and RV campsites.
  • Distribute maps, park rules and local information.
  • Always set an example by being a professional, knowledgeable, practicing good housekeeping and by observing all rules and regulations.
  • Keep a written report of complaints and criticism of park facilities, report situations that could affect the health and safety of visitors and report any maintenance items which need immediate attention.
  • Learn and demonstrate ESQ program, environmental, safety and quality roles, responsibilities and program requirements.
