Job Summary The Hospitality team is the face of our Company, creating a positive first impression for every guest and team member that enters our office and a welcoming resource for all callers. This role’s main responsibility is creating a friendly, professional, and unique experience through in person and phone interactions by taking the initiative to deliver exceptional customer service. The Hospitality team is empowered to do what needs to be done to ensure the needs of our guests and teams are met. This role supports all our internal teams with work related to on-site visits, which are critical to the success of Brokers International. Hospitality team members also works to keep our building running smoothly and ensure visitors and employees enjoy a positive working/meeting environment. Due to the nature of the job responsibilities, our Hospitality team is required to work onsite. Requirements

  • Proficient with Microsoft Office, especially Outlook & calendar functions
  • Positive customer service drive with outstanding communication and active listening skills
  • Strong sense of responsibility and professional presentation
  • Excellent problem-solving and multitasking skills
  • Strong attention to detail
  • Anticipate customer needs, plan for visits/events, and demonstrate flexibility in navigating last minute changes
  • 2 year's experience in Customer Service with experience in multiline telephone systems preferred (online switchboard)
  • High school diploma or general education degree (GED).

Responsibilities

  • Answer multiline telephone system directing callers to appropriate personnel, voicemail, or department.
  • Answer questions about the organization and provide callers with address, directions, and other information.
  • Support mail function for the building; receive and distribute inbound mail and assist in outbound mail function.
  • Welcoming our guests and team members as they arrive, guaranteeing the highest level of customer service throughout their entire stay in our office.
  • Assist with set up, maintenance and clean-up of meeting spaces.
  • Work with Executive Assistant to coordinate meetings, on-site visits and events – partner in catering, facilities, scheduling, accommodation, agenda, travel and transportation.
  • Provides additional support for internal and external teams during these instances
  • Managing our guest services and our Company’s image by maintaining hospitality touch points throughout the building. Includes maintaining the presentation and stocking of coffee stations, break rooms, restroom toiletry stations and meeting rooms.
  • Maintain current supply of goods and services.
  • Completes supply orders and expense reporting.
  • Utilize company systems to reconcile invoices and ensure data accuracy on expense reports
