About The Position

The HR Administration Assistant provides essential front-line support to the Human Resources department by assisting employees, applicants, and visitors; coordinating administrative functions; and ensuring smooth daily HR operations. Entity Medical University Hospital Authority (MUHA)

Requirements

  • High school diploma or equivalent
  • Proficiency in Microsoft Office applications

Nice To Haves

  • Two (2) years of Human Resources or administrative experience preferred

Responsibilities

  • Greet and assist visitors; respond to walk‑in, phone, and email inquiries (or route appropriately) within 24 hours
  • Manage the central HR phone system and fax machine with accurate daily routing
  • Maintain applicant flow and assist candidates in the Career Center; report issues to IT (computer failures, password resets)
  • Support applicants called in for interviews
  • Assist with pre‑employment processes including Employee Health Assessments, I‑9 verification, onboarding documentation, and ensuring E‑Verify completion
  • Maintain and audit employee licensure records
  • Maintain badge process, including supporting new hire badge creation and updates
  • Serve as the first point of contact for basic HR questions
  • Order supplies for the HR department
  • Manage HR conference room scheduling and ensure the room remains organized
  • Perform additional duties as assigned by HR leadership
