About The Position

Casey Auto Group is seeking a highly organized, detail-oriented HR Assistant to join our corporate team! This position provides high-level administrative support to the Director of Human Resources, the Recruiting Director, and our various corporate departments. From managing the onboarding lifecycle to ensuring DMV compliance across our dealerships, this is a pivotal position within our HR department.

Requirements

  • Education: Associate degree OR 1+ year of related administrative experience/training (or an equivalent combination).
  • Skills: Must be proficient in Microsoft Excel, Word, and PowerPoint. Experience with database software is highly preferred, as well as Human Resources experience.
  • Communication: Strong professional writing skills for memos and correspondence; comfortable communicating via telephone, fax, and mail.
  • Professionalism: Ability to handle sensitive employee information with 100% confidentiality and stay updated on employment law through continuing education.

Responsibilities

  • Onboarding & Licensing: Review and process new hire paperwork and files. Manage sales licenses (new, transfers, and terminations) and distribute updated license lists to all store locations.
  • Systems Management: Update employee information in our system, including pay changes, transfers, and title changes. Manage payroll data entry for taxes, direct deposit, and address updates.
  • Compliance & Driving Records: Monitor DMV records via the monitoring system, maintain the "Do Not Drive" list, and coordinate with the CFO and managers on driver eligibility.
  • Corporate Support: Provide administrative aid (memos, reports, filing, and faxing) for HR, Recruiting, Training, and Marketing departments. Also serves as backup for the HR Receptionist.
  • Training & Orientation: Conduct weekly New Employee Orientations, featuring company history, policies, and OSHA safety videos.
  • Reporting: Generate monthly Score Cards, Refinance Reports, Expired DL Reports, and Social Security Verifications.
  • Employee Relations: Coordinate the flow of status reports and counseling notices. Manage exit interviews and provide employment/income verifications.
  • Legal Representation: Prepare documentation for and participate in Virginia Employment Commission (VEC) hearings as the company representative.
