About The Position

The HR Coordinator plays a critical role in supporting the employee lifecycle, with a primary focus on recruitment coordination, onboarding, employment eligibility compliance (I-9), and managing the HR ticketing system. This position ensures a positive candidate and employee experience while maintaining accurate records and compliance with federal and state regulations. The HR Coordinator works closely with hiring managers, recruiters, and HR leadership to support high-volume hiring in a fast-paced, multi-site environment. This position is based out of our headquarters located in Minnetonka, Minnesota. At beBright, smiles are the most important part of every day. Requirements

  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
  • 1–3 years of experience in HR coordination, recruiting support, onboarding, or HR operations.
  • Highly organized with strong attention to detail
  • Strong follow-through and time management skills
  • Customer-service oriented with a problem-solving mindset
  • Comfortable handling confidential and sensitive information
  • Able to prioritize and manage multiple requests in a fast-paced environment

Nice To Haves

  • Experience managing an HR ticketing system or service desk preferred.
  • Experience supporting high-volume hiring environments strongly preferred.
  • Proficiency with HRIS and applicant tracking systems (ADP, Hireology, or similar).

Responsibilities

  • Coordinate high-volume recruiting activities, including job postings, interview scheduling, candidate communication, and offer processing.
  • Partner with recruiters and hiring managers to ensure a smooth and timely hiring process.
  • Track recruiting metrics such as time-to-fill and candidate pipeline status.
  • Support recruitment events, job fairs, and residency outreach as needed.
  • Manage end-to-end onboarding for new hires, ensuring all required documentation is completed accurately and on time.
  • Coordinate new hire orientation and ensure a positive, welcoming onboarding experience.
  • Serve as a primary point of contact for new hires during their onboarding period, addressing questions and escalating issues as appropriate.
  • Ensure new hire data is accurately entered into HRIS systems (e.g., ADP).
  • Complete, review, and maintain Form I-9 documentation in compliance with federal and state regulations.
  • Conduct regular I-9 audits and support corrective actions when required.
  • Maintain accurate employee records and ensure compliance with record retention requirements.
  • Stay informed on changes to employment eligibility and onboarding regulations.
  • Manage and monitor the HR ticketing system, ensuring timely response and resolution of employee inquiries.
  • Triage tickets, resolve routine HR requests, and escalate complex issues to the appropriate HR team members.
  • Track ticket trends and recurring issues to support process improvements.
  • Ensure consistent documentation and communication within the ticketing system.
  • Maintain employee files and HR documentation in accordance with Company policies.
  • Respond to routine employee questions related to onboarding, benefits navigation, and general HR processes.
  • Support HR reporting, audits, and special projects as needed.
