About The Position

Join Salem Clinic’s HR team and play a key role in shaping the employee experience from day one! This position leads full-cycle recruitment, coordinates onboarding, and supports a variety of Human Resources functions that keep our organization running smoothly.

Requirements

  • High school graduate or equivalent
  • Proficient knowledge of Microsoft Windows applications, including word processing and spreadsheet programs
  • Ability to type 50 words per minute
  • Proficient in written and oral communication with strong spelling and writing skills
  • Skill in establishing and maintaining effective working relationships with employees and the public
  • Excellent organizational skills and the ability to multitask
  • Ability to read, interpret, and apply Clinic policy and legal requirements
  • Ability to adapt to changing assignments and work pace

Responsibilities

  • Manage all job postings, position numbers, and advertising, ensuring accuracy
  • Collaborate with hiring managers to understand qualifications, skills, and experience required for each open position
  • Proactively use a variety of strategies and platforms to attract talent and keep job postings highly visible in applicant searches
  • Coordinate all aspects of employee on boarding, including verifying starting wages using clinic pay scales, sending onboarding materials, entering pre-hire information, conducting weekly in-person new employee orientation, entering post-hire information into ADP, coordinating TB program compliance, and troubleshooting onboarding issues
  • Schedule and coordinate second-session orientation
  • Monitor the Human Resources department’s Careers email account
  • Complete recruitment-related reporting, including application volume, sources of hire, position postings, cost-to-hire, advertising costs, and turnover data
  • Work with department leadership to maintain up-to-date job descriptions in both content and format
  • Assign and track parking passes
  • Process employee change of status forms, including assigning position numbers, removing job postings, updating Human Resources position control and job posting trackers, creating new name badges, and ensuring departments submit new job postings when applicable
  • Scan paper documents and file them into employee electronic personnel files
  • Coordinate annual signature page completion
  • Coordinate medical student externships and job shadows
  • Coordinate annual OSHA training completion
  • Update and maintain the employee phone directory
  • Respond to reference checks, employment verifications, and unemployment claims
  • Understand the benefit enrollment process and answer employee questions regarding the Clinic’s benefit programs, including medical, dental, life, disability, workers’ compensation, and COBRA insurance; retirement plans; pre-tax and health reimbursement account programs; and other fringe benefits
  • Assist the Associate Administrator of Operations and Human Resources with various tasks and projects as directed
  • Provide guidance regarding the application of Clinic policies and employment law issues
  • Maintain strict confidentiality
