Job Overview To support the overall operation of the People & Culture (Human Resources) function by maintaining accurate associate records and delivering a positive, compliant, and people-first associate experience. This role provides support across employment administration, benefits, associate relations, and training. The People & Culture Coordinator coordinates, administers, and reports on various People & Culture programs, systems, and processes that support the attraction, engagement, development, and retention of associates, in alignment with Sage Hospitality Group policies, procedures, values, and applicable laws and regulations. This position also provides daily administration of benefit, government, and associate relations programs and proactively recommends process improvements to enhance efficiency, compliance, and the associate experience.

Requirements

  • Associate or Bachelor’s degree in Human Resources Management or a related field, or equivalent education and experience preferred.
  • Minimum of one year of hotel, hospitality, or People & Culture (Human Resources) related experience preferred.
  • Basic PC proficiency, including word processing and data entry, with a minimum typing speed of 45 WPM.
  • Ability to communicate clearly and professionally in written and verbal formats.
  • Strong hospitality mindset with the ability to work effectively in a fast-paced environment.
  • Demonstrated ability to manage multiple tasks simultaneously while meeting deadlines.
  • High attention to detail with strong organizational and time management skills.
  • Excellent hearing required to conduct interviews, address associate concerns, complete reference checks, and answer phones.
  • Excellent vision required to review documentation, applications, and maintain accurate files.
  • Strong verbal communication skills to support interviews, reference checks, and associate inquiries.
  • Strong comprehension and literacy skills required to read, interpret, and prepare People & Culture documentation.
  • Excellent comprehension and literacy required to read all documentation, applications and write documentation; i.e., screening forms, etc.
  • Transporting supplies up to 35 lbs., carrying training materials. Lift binders of documentation.
  • Bending/kneeling to lower filing cabinets, bottom desk drawers for materials.
  • Mobility – need to be able to move about the hotel to maintain associate relations. Possess the ability to move around office to access files.
  • Continuous standing – to assist in training sessions.
  • No climbing or driver required.
  • Work inside 95% of day.

Responsibilities

  • Maintain all People & Culture logs, including new hires, terminations, transfers, department meetings, turnover reports, birthdays, anniversaries, training, and recognition. Prepare accurate and timely reports by pay period and month.
  • Maintain associate records, personnel files, and People & Culture office systems in accordance with compliance, audit, and confidentiality standards.
  • Prepare correspondence, reports, and memos as needed to support People & Culture operations.
  • Assist with screening hourly applicants, determining eligibility for employment, and referring qualified candidates to department leaders as appropriate. Execute employment processes in partnership with hiring managers.
  • Support recruitment and onboarding efforts using iCIMS (ATS), including coordination of interviews, offer documentation, and background screenings through Checkr.
  • Assist with benefits enrollment and administration, including group health insurance, 401(k), vacation, sick leave, leaves of absence, and jury duty pay. Ensure policies and procedures are followed and that all forms are completed accurately and timely.
  • Assist with new associate orientation, including benefits overview, enrollment guidance, auditing of enrollment forms, and review of the associate handbook and Sage culture.
  • Prepare and monitor workflows, input or update new hires, terminations, transfers, and pay changes in UKG/MySagePage to ensure accurate and current payroll data.
  • Notify managers of upcoming performance review cycles, prepare required documentation, and track completed reviews to support timely execution.
  • Provide front-line People & Culture support by greeting associates, listening to concerns, and directing them to appropriate leadership or People & Culture partners as needed.
  • Assist in the creation and distribution of associate communications, including newsletters and internal announcements.
  • Ensure full compliance with the Immigration Reform and Control Act, including completion and maintenance of Form I-9 documentation.
  • Conduct exit interviews for hourly associates and document trends and feedback in tracking tools for reporting and insights.
  • Maintain associate bulletin boards, ensuring timely posting of required notices, internal communications, recognition, and associate event materials.
  • Manage inventory of office and benefits supplies, complete purchase orders as needed, and maintain appropriate stock levels.
