About The Position

The Inside Sales Assistant provides essential clerical and administrative support to the Inside Sales team. This role ensures smooth daily operations by managing customer communications, preparing order confirmations, providing order and tracking updates, maintaining organized records, and supporting sales processes across both Phase 3 USA and Motion Laboratories Inc.

Requirements

  • High School Diploma or GED
  • Experience in a clerical or sales role
  • Strong written and verbal communication skills; comfort working in English.
  • General computer literacy in a Windows environment.
  • Proficiency with Microsoft Office 365 (PowerPoint, Excel, Word, Teams, Outlook).
  • Ability to learn new administrative platforms.
  • High attention to detail, especially in written communication.
  • Ability to work independently, multitask, and apply critical thinking.

Nice To Haves

  • Associate degree in Business Administration
  • Customer service or administrative support experience

Responsibilities

  • Answer incoming customer calls and emails, collecting information and routing inquiries appropriately.
  • Provide order confirmations, track order progress, and send shipment tracking details.
  • Maintain physical or digital filing systems and update customer or sales records as needed.
  • Prepare reports and communicate customer information to the appropriate internal parties.
  • Conduct follow-up activities, including obtaining freight quotes, checking payment status, or gathering shipment details.
  • Prioritize incoming communications to ensure urgent issues receive timely attention.
  • Learn and proficiently utilize required administrative software and adhere to established sales department procedures.
  • Demonstrate good judgment, professionalism, and courteous communication with customers and coworkers.
  • Perform other duties as assigned.
