About The Position

This is a full-time, nonexempt level position in Mountain View, CA. HYBRID WORK SCHEDULE SVCF operates on a hybrid work model. Some teams work onsite in the Mountain View office twice per week, while others work in the office twice per month. This position is currently part of a team that is scheduled to work onsite twice per month. Please note that there may be occasions when additional in-office days are required to support critical meetings, assignments, or events. SVCF also reserves the right to modify its hybrid work schedule as needed. All SVCF team members must be based and hold residency in California. JOB SUMMARY Reporting to the Vice President, Investment Operations, the Investment Operations Coordinator is a member of a small, highly collaborative team responsible for supporting a wide range of investment operations and complex gifted assets. This role provides coordinated, detail-oriented operational support to ensure timely processing, accurate recordkeeping, and smooth day-to-day functioning of the Investment Operations team. The position supports recurring operational workflows, documentation, and cross-functional coordination, contributing to efficient operations, clean audits, and high-quality service delivery. Shared Team Responsibility - Investment Operations functions as a collaborative team. All team members, regardless of role, are expected to contribute to hands-on operational support during periods of high volume or time-sensitive activity to ensure accuracy, timeliness, and continuity.

Requirements

  • Bachelor’s degree or equivalent experience required
  • Professional and personal alignment with Silicon Valley Community Foundation’s values and mission
  • At least 3-5 years of financial services experience in institutional or private wealth management operations
  • Exposure to investment audit deliverables/processes and Level 3 valuations. Training or experience in investment accounting a plus.
  • Highly proficient with Microsoft Office Suite, PowerPoint and Word, as well as business productivity software, like Black Diamond and project management tools. Advanced excel skills.
  • High degree of self-motivation, dedication and perseverance
  • Highly organized and able to manage multiple priorities
  • Proven track record of initiating and managing process improvements in past roles
  • Excellent attention to detail and accuracy is critical
  • Effective critical thinking, technical and problem-solving skills
  • Excellent written and oral language communications skills

Responsibilities

  • Support routine investment operations activities under the guidance of team leads, including:
  • Processing and tracking capital calls, distributions, and cash movements
  • Processing investment-related invoices and fee payments
  • Coordinating fund and asset movements with custodians and internal partners
  • Assist with onboarding new investments, accounts, and structures by preparing and routing documentation and maintaining records
  • Support reconciliations, reporting, and audit preparation during peak periods
  • Track requests, approvals, and follow-ups to ensure timely completion of assigned tasks
  • Maintain calendars, deadlines, and checklists related to investment operations and reporting cycles
  • Coordinate meetings, prepare agendas, and document notes and action items as needed
  • Serve as a point of contact for routine internal and external inquiries, escalating issues as appropriate
  • Organize and maintain investment-related documentation to ensure records are complete, current, and audit-ready
  • Support disciplined filing, version control, and documentation standards
  • Assist with responses to audit, compliance, or internal information requests
  • Coordinate with colleagues across Investments, Accounting, Development, Legal, and external service providers to support operational workflows
  • Communicate task status and information requests clearly and professionally
  • Maintain and update standard operating procedures, checklists, and tracking tools
  • Assist with process improvements and system updates as directed
  • Provide administrative and operational support during periods of high volume or staff coverage needs
