About The Position

The IT Operations Analyst is responsible for cost management, supply chain management, portfolio administration, external reporting, and other operations tasks within the Information Technology function. The IT Operations Analyst optimizes organizational efficiency by analyzing and performing business processes, data, and workflows to improve performance, reduce costs, and support strategic decision-making. They will assist in identifying bottlenecks, developing reports, and implementing solutions to enhance productivity across areas to include supply chain, finance, and customer service within the IT function. This position is an individual contributor role. The role directly reports to the Sr. VP, Information Technology and routinely interacts with Global IT, Global Business Leads, Project Management, Global Supply Chain, and Legal.

Requirements

  • 2-5 years of relevant experience
  • Bachelor's degree in Business Administration
  • Experience in IT Operations, supply chain management and/or cost management, preferably within a corporate environment preferred.
  • Proficiency in data analysis, financial modeling, and interpreting complex data sets.
  • Financial knowledge: Understanding of accounting principles, budgeting, and cost management practices.
  • Analytical Skills: Strong ability to analyze data, identify patterns, and perform statistical analysis (e.g., forecasting).
  • Technical Proficiency: Proficiency in Excel (modeling, PivotTables) and data analysis tools (SQL, Tableau, or Python).
  • Problem-Solving: Ability to break down complex problems and develop actionable solutions.
  • Communication Skills: Excellent written and verbal communication skills.
  • Organizational Skills: Ability to manage multiple workloads simultaneously and maintain detailed records.
  • Attention to detail: Ensuring accuracy in purchase orders, contracts, and inventory records.
  • Cross-functional Collaboration: Work across functions and as a part of cross functional teams to streamline workflows, such as supply chain management or customer support.
  • Proactively embraces and promotes the company’s values and culture, including a healthy and safe work environment

Responsibilities

  • Cost Tracking and Analysis: Monitor and analyze IT expenses across different categories like hardware purchases, software licenses, network maintenance, and staff costs. Identify variances between budgeted costs and actual spending, investigating the root causes and proposing corrective actions. And develop cost models to estimate future IT project expenses and potential cost savings.
  • Budgeting and Forecasting: Collaborate with IT leadership to develop and maintain accurate IT budgets. Prepare detailed budget forecasts based on historical data and anticipated IT needs. And analyze budget variances and propose adjustments as necessary.
  • Performance Reporting: Generate regular reports highlighting key IT cost metrics (e.g., cost per user, cost per project). And visualize data through dashboards to provide insights into cost trends and areas for improvement.
  • Cost Optimization Strategies: Identify potential cost reduction opportunities through vendor negotiations, contract optimization, and resource utilization analysis. Evaluate new technologies and their impact on IT costs. And recommend cost-effective solutions for IT projects and initiatives.
  • Collaboration and Communication: Work closely with IT project managers, system administrators, and business stakeholders to understand their cost needs. And communicate cost analysis findings and recommendations to IT leadership and other decision-makers.
  • Contract Management System: Utilize a contract management solution to maintain comprehensive contract records, track key milestones, and monitor contract performance against agreed-upon deliverables.
  • Vendor Management: Establish relationships with vendors, manage communication, and address any contractual issues that may arise during the project lifecycle.
  • Change Order Management: Ensure that change orders to existing contracts are properly reviewed and approved, ensuring proper documentation and financial implications are considered.
  • Dispute Resolution: Facilitate resolution of contractual disputes with vendors by collaborating with legal teams and internal stakeholders.
  • Reporting and Analysis: Generate regular reports on key contract status, key performance indicators, deliverables, and renewals.
  • Purchase order creation: Generating and processing purchase orders for IT equipment and services, ensuring accurate specifications and delivery timelines.
  • Contract management: Maintaining and monitoring IT vendor contracts, ensuring compliance with terms and conditions.
  • Inventory management: Maintaining accurate records of IT assets, including tracking usage, lifecycle, and disposal.
  • Compliance management: Ensuring adherence to company procurement policies, legal regulations, and data privacy standards.
  • Reporting and analysis: Generating reports on procurement activities, including spending trends and vendor performance.
  • Stakeholder communication: Communicating procurement updates and status to IT users and management.
  • Manage logistics, data, and reporting for the portfolio of IT projects.
  • Ensure project data accuracy, track budgets, monitor schedules, and update resource forecasts.
  • Collects, validates, and reports on project status, risks, and performance metrics
  • Schedules, prepares, and takes notes for key portfolio governance meetings.
